Duties

  • Manage front desk operations, greeting visitors and directing phone calls with professionalism and courtesy using multi-line phone systems
  • Handle data entry, filing, and document proofreading to ensure accuracy and organization across all office records
  • Support bookkeeping tasks using QuickBooks and assist with basic office management duties
  • Coordinate calendar management and schedule appointments or meetings efficiently using Google Workspace and Microsoft Office tools
  • Provide excellent customer service by responding promptly to inquiries, supporting clients, and maintaining positive communication
  • Assist with general clerical tasks such as photocopying, faxing, mailing, and maintaining organized filing systems
  • Offer personal assistant support including time management, task prioritization, and calendar updates for team members

Skills

  • Proficiency in QuickBooks, Microsoft Office (Word, Excel, Outlook), and Google Workspace for seamless office operations
  • Strong organizational skills with the ability to multitask effectively in a fast-moving environment
  • Excellent phone etiquette and customer service skills to handle inquiries professionally via multi-line phone systems
  • Bilingual abilities are highly valued to assist diverse clients and team members
  • Proven experience in office management, clerical work, bookkeeping, or administrative roles with attention to detail
  • Computer literacy with typing skills that ensure efficient data entry and document processing
  • Knowledge of office procedures such as filing, proofreading, calendar management, and time management techniques
