Job Summary
We are seeking a proactive and detail-oriented Operations Administrative Assistant to join our team. In this vital role, you will support daily office functions, manage administrative tasks with efficiency, and ensure smooth operations across various departments. Your organizational skills and positive attitude will help us maintain an effective work environment dedicated to our mission of humanitarian aid.
Responsibilities
- Manage front desk operations, greeting visitors and directing inquiries with professionalism and warmth
- Handle multi-line phone systems, answer calls promptly, and route messages accurately
- Maintain organized filing systems for documents, reports, and correspondence
- Perform data entry tasks using Microsoft Office and Google Workspace applications with precision
- Assist with bookkeeping using QuickBooks to track expenses and financial records
- Support office management activities, including calendar scheduling, appointment setting, and personal assistance as needed
- Ensure proper proofreading of documents for accuracy and clarity before distribution
Skills
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Experience with QuickBooks or similar bookkeeping software
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Bilingual abilities are a plus to effectively communicate with diverse stakeholders
- Demonstrated clerical experience including filing, data entry, and document proofreading
- Knowledge of multi-line phone systems and phone etiquette for professional communication
- Office management experience that includes calendar management and supporting daily administrative needs
- Exceptional time management skills to prioritize tasks effectively and meet deadlines
- This role requires the ability to perform standard office functions, including prolonged sitting, standing, and computer use. Occasional lifting, carrying, or moving materials weighing up to 20 pounds may be required. OR
- This position requires the ability to perform physically demanding work. Essential functions include frequent standing, walking, bending, stooping, kneeling, and reaching. The employee must be able to regularly lift, carry, push, and pull materials weighing up to 50 pounds, with or without reasonable accommodation. AND
This position may require occasional domestic and/or international travel to attend meetings, trainings, conferences, or organizational events. Travel may be conducted by airplane, automobile, bus, or other reasonable means. Travel frequency is expected to be limited and scheduled in advance when possible.
