Operations & Administrative Assistant- Fundraising

SUMMARY:

Meals on Wheels San Diego County is seeking a proactive, detail-oriented, and mission-driven individual to support our dynamic fundraising and external affairs team. The Operations & Administrative Assistant plays a vital role in helping our department run smoothly by managing administrative tasks, supporting fundraising operations, ensuring accurate data entry and reporting, and assisting with donor engagement efforts.

This position is ideal for someone who is organized, tech-savvy, and enthusiastic about supporting a team that works to ensure no senior goes hungry or forgotten.

DUTIES & RESPONSIBILITIES:

Administrative Support:

  • Provide daily administrative support to the Chief External Affairs Officer and External Affairs/Development team.
  • Coordinate internal and external meetings and prepare meeting materials.

Fundraising Operations:

  • Maintain Raiser’s Edge donor database.
  • Back-up accounting, including assisting with timely and accurate data entry of donations, pledges, and contact information.
  • Generate fundraising reports, donor lists, and mailing labels.
  • Research donors and potential donors to build a pipeline of support.

Event Support:

  • Provide logistical and administrative support for fundraising events and donor stewardship gatherings, including our annual gala.
  • Help coordinate auction item tracking, donation forms, and post-event follow-up.

Communications & Marketing Support:

  • Support the creation and distribution of donor communications, appeals, newsletters, and social media content.
  • Help update and maintain donor recognition displays and digital assets.

QUALIFICATIONS:

The ideal candidate will have the following:

  • Familiarity with donor stewardship and fundraising best practices.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management skills with keen attention to detail.
  • Proficiency in technology, including Microsoft Office Suite (Word, Excel, Outlook), Canva, and Google Workspace.
  • Ability to manage multiple priorities and deadlines with a positive, can-do attitude.
  • Passion for serving seniors and disabled veterans and working as a collaborative team.
  • Event planning experience a plus.
  • Graphic Design experience a plus.
  • Social Media Savvy a plus.

REQUIREMENTS:

Standard office environment. Reasonable accommodation may be made to enable individuals with disabilities to perform essential functions. Must have a valid California driver’s license. Physical requirements include standing, sitting, typing, bending, and lifting to approximately 35 lbs. The noise level in the work environment is moderate. Must have reliable transportation.
