Position Summary

Trailblazers is seeking an organized and dependable Operations & Administrative Coordinator to support the daily functioning of the organization’s office and internal operations.

This role helps ensure the office runs smoothly and remains a welcoming, well-organized environment for staff, partners, and visitors. The coordinator serves as a central point of contact for office activity, helping manage daily logistics, maintain shared resources, and support internal administrative systems that allow the organization to operate efficiently.

The position also supports operational coordination across the organization by helping maintain organized documentation, schedules, and internal processes.

This is a full-time, in-person position based in Bentonville, Arkansas with a 40-hour workweek. Core hours are 9:00 AM – 4:00 PM, Monday through Friday, during which the coordinator must be on site to support office activity, deliveries, and staff needs. Remaining weekly hours may be scheduled in coordination with the Chief Operating Officer.


Key Responsibilities

  • Serve as a primary point of contact at the office by greeting visitors, managing deliveries, directing inquiries, and maintaining a welcoming and professional environment.

  • Support daily office operations by coordinating supplies, maintaining shared spaces, and ensuring the office remains organized and functional.

  • Manage shared communications such as the general email inbox, office mail, phone inquiries, and voicemail.

  • Provide administrative support to staff, including scheduling assistance, document preparation, and coordination of shared organizational resources.

  • Coordinate calendars and scheduling for shared organizational spaces, vehicles, equipment, and internal meetings.

  • Coordinate with vendors and service providers to support facility needs and general office maintenance.

  • Maintain organized records, files, and shared documentation to ensure information remains accurate and accessible across the organization.

  • Assist with employee onboarding logistics and other internal administrative processes.

  • Support the operations and finance teams with routine administrative coordination and documentation.

  • Assist with tracking operational tasks, schedules, and compliance-related requirements as needed.


Qualifications

Required

  • Associate’s degree or equivalent experience

  • Minimum 2 years of experience in administrative coordination, office management, or operations support

  • Strong organizational, communication, and problem-solving skills

  • Ability to manage multiple priorities and work independently

  • Proficiency with Microsoft Office / Microsoft 365 and web-based administrative tools

Preferred

  • Experience coordinating vendors, facilities, or office operations

  • Experience supporting bookkeeping or finance administration

  • Experience with employee onboarding or HR processes

  • Experience maintaining shared organizational systems or records

Physical Requirements

  • Regular use of computers and standard office equipment
