Location: Montoursville, PA

Pay: $45,000 – $56,000 annually depending on experience
Schedule: Full-time | Monday – Friday

Position Overview

Costy’s Energy Services is seeking a reliable and detail-oriented Operations Administrator to support the daily administrative functions of our trucking and field operations. This role is responsible for tracking operational activity, supporting billing and reporting, coordinating driver compliance requirements, and ensuring accurate documentation of all loads and truck activity.

The ideal candidate is organized, dependable, and comfortable working with operational data in a fast-paced environment. This position plays a key role in ensuring that work performed in the field is properly documented, billed, and reported.

Key Responsibilities

  • Track truck activity and loads to ensure proper documentation for billing
  • Bill loads according to specific customer requirements and guidelines
  • Process and submit invoices through customer billing platforms
  • Collect, organize, and verify weekly payroll hours for field personnel
  • Reconcile weekly truck activity to ensure all billable work is invoiced accurately
  • Run, maintain, and update weekly operational and activity reports
  • Review and process Driver Vehicle Inspection Reports (DVIRs)
  • Schedule DOT physicals and driver compliance appointments
  • Maintain organized operational records and documentation
  • Order and manage office supplies as needed
  • Assist with month-end administrative reporting
  • Support general office operations and administrative tasks

Qualifications

  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • High attention to detail and accuracy
  • Ability to manage multiple tasks and meet deadlines
  • Ability to work independently and take ownership of responsibilities
  • Comfortable handling confidential financial and employee information
  • Proficiency with Microsoft Office, especially Excel
  • Experience with Google Sheets or similar reporting tools preferred

Preferred Experience

  • Experience working in trucking, logistics, construction, or oil and gas services
  • Experience with load billing, operational reporting, or dispatch offices
  • Familiarity with driver compliance or DOT requirements

Work Environment

This position is based in our Montoursville, PA office and supports operational teams working throughout the region. The role requires coordination with drivers, operations personnel, and accounting to ensure accurate documentation and reporting.

Within the first 90 days, the successful candidate will be able to:

  • Maintain accurate tracking of truck activity and load documentation
  • Ensure all loads are billed correctly according to customer requirements
  • Produce reliable weekly operational reports for management
  • Keep driver documentation and DVIR records organized and up to date
  • Ensure payroll hours and truck activity reconcile accurately each week
