Role Summary

The Senior Operations Analyst combines management, business analysis, and stakeholder engagement to help businesses thrive by solving complex operational and growth challenges. This role is integral to ensuring projects are delivered efficiently, client expectations are consistently exceeded, and internal systems operate seamlessly. You will work closely with cross-functional teams to manage client engagements, streamline processes, and drive operational excellence.

Key Responsibilities

Project Management & Delivery Excellence

  • Oversee and manage multiple client projects from initiation to completion, ensuring timelines, budgets, and quality standards are consistently met.
  • Maintain up-to-date project information on Sync! and other management platforms, ensuring redundancy via Core and email documentation.
  • Ensure all project updates are documented and shared across internal and client-facing channels every 48 hours.
  • Develop and maintain proposal quality processes, ensuring that 90% of proposals meet internal standards before submission.
  • Conduct weekly end-of-week recaps summarising project highlights, blockers, and next steps for all active engagements.
  • Monitor and track deliverables to ensure 100% adherence to client delivery timelines.

Stakeholder Engagement & Client Success

  • Serve as the primary operational liaison between Spurt! and clients, ensuring consistent, transparent, and proactive communication.
  • Document and share key insights from all client interactions within 24 hours, highlighting scope alignment and actionable next steps.
  • Lead high-quality client meetings, ensuring feedback surveys are distributed within 24 hours of project completion.
  • Provide bi-weekly progress updates via virtual or in-person check-ins with clients.
  • Maintain a robust client satisfaction tracking process, targeting at least 85% satisfaction scores across all engagements.

Business Analysis & Process Optimisation

  • Analyse operational and project performance data to identify bottlenecks and recommend process improvements.
  • Support internal reviews of systems, protocols, and SOPs, ensuring 90% compliance with up-to-date procedures.
  • Provide operational insights and updated bid analysis reports to support business development and revenue growth initiatives.
  • Automate routine workflows using Sync! to improve efficiency and scalability.

Internal Coordination & Reporting

  • Lead weekly planning sessions to align the operations team on deliverables and key priorities.
  • Prepare weekly and monthly status reports for internal and external stakeholders, including insights and actionable recommendations.
  • Deliver comprehensive outcomes and learnings reports within three business days of project close-out.
  • Support the continuous development of Spurt!’s consultant pool, ensuring utilisation rates remain above 30%.

Key Qualifications

  • Bachelor’s degree in Business Administration, Economics, Management, or related fields; Master’s degree or professional certifications (e.g., PMP, Prince2, Lean Six Sigma) is a plus.
  • Minimum of 3 years’ experience in management consulting, operations management, or project management within a professional services or startup environment.
  • Proven expertise in managing complex projects, with strong organisational and analytical skills.
  • Advanced proficiency in productivity and collaboration tools (e.g., Airtable, Notion, Trello, or equivalent project management platforms).
  • Strong data analysis skills with the ability to turn operational data into actionable insights.
  • Excellent written and verbal communication skills, with demonstrated ability to engage and influence stakeholders at all levels.
  • Ability to work effectively in a remote-first, fast-paced, and dynamic environment.

Performance Metrics

Success in this role will be measured by:

  • Project Efficiency: On-time and on-budget delivery of 95% of projects.
  • Client Satisfaction: Maintaining a minimum 85% satisfaction score from clients and consultants.
  • Process Compliance: 90% compliance with updated SOPs and operational protocols.
  • Operational Reporting: Timely and accurate preparation of weekly, monthly, and end-of-project reports.
  • Automation & Process Improvements: Documented efficiency gains from workflow automation and process optimisations.
