About GAEYC: The Georgia Association for the Education of Young Children (GAEYC) is a professional membership organization committed to advancing high-quality early learning across Georgia. Through advocacy, professional development, and community engagement, GAEYC supports early childhood professionals and strengthens the early education ecosystem statewide.

Position Overview: The Operations & Communications Coordinator serves as the essential backbone of the Georgia Association for the Education of Young Children (GAEYC). This hybrid role merges high-level administrative support with creative digital execution to advance high-quality early learning across Georgia. The Coordinator provides essential administrative, operational, and coordination support to ensure the smooth day-to-day functioning of GAEYC. This role supports communications, membership administration, event logistics, systems management, and light financial coordination. The Coordinator works closely with the Affiliate Manager and Board President and serves as a reliable operational backbone for the organization. This is a hands-on role that requires organization, follow-through, comfort with technology, and the ability to manage multiple workstreams independently.

Key Responsibilities

This position is 40% administrative and 60% communications

1. Administrative & Organizational Support

  • Provide support for leadership, including scheduling meetings, managing calendars, and handling correspondence.
  • Assist with Board and committee logistics, including agendas, materials, and tracking action items.
  • Maintain organized digital files and internal workflow systems using Smartsheet.

2. Membership & Financial Coordination

  • Manage membership records, renewals, onboarding, and data reporting.
  • Maintain accurate databases to support member engagement.
  • Process invoices and reimbursements and maintain organized financial records for external accountants (non-accounting/bookkeeping).

3. Visual Design & Brand Management

  • Design and format GAEYC’s monthly newsletter and visual assets for social media (Facebook, Instagram, LinkedIn).
  • Create promotional flyers and digital graphics for events, trainings, and member campaigns.
  • Ensure all materials meet brand guidelines, accessibility standards, and visual clarity.

4. Digital Presence & Website Maintenance

  • Manage social media posting schedules and monitor engagement metrics.
  • Perform website updates via Squarespace, including uploading flyers, updating banners, and ensuring link functionality.
  • Ensure consistency and accuracy across all digital platforms.

5. Events & Conferences

  • Assist with planning and logistics, including registration, speaker coordination, venue needs, and audiovisual requirements.
  • Provide on-site or virtual support during special events as needed.

Qualifications

  • Experience: 2+ years in administrative, operations, or social media management roles, preferably in a nonprofit.
  • Technical Proficiency: Expert use of Smartsheet, Google Workspace, Microsoft Office, Canva, and Squarespace.
  • Communication: Strong written and verbal communication skills with a high attention to detail.
  • Soft Skills: Ability to work independently in a remote environment, manage multiple priorities, and meet strict deadlines.
  • Knowledge of the Georgia Early childhood field.

Deliverables

1. Social Media Planning and Management

  • Develop and maintain GAEYC’s annual social media plan in alignment with organizational priorities and campaigns.
  • Create and manage monthly and weekly posting schedules.
  • Design and format visual assets for social media platforms (Facebook, Instagram, LinkedIn, etc.).
  • Schedule and publish approved content.
  • Monitor engagement and provide basic performance metrics.

2. Newsletter Design and Production

  • Design and format the monthly GAEYC newsletter in collaboration with administrative staff.
  • Create accompanying graphics and visual elements.

Note: Most written content is provided by GAEYC staff.

3. Graphic Design and Marketing Materials

  • Design flyers, digital graphics, and promotional materials for:

o Events and trainings

o Conferences and meetings

o Member communications

o Campaigns and initiatives

  • Develop templates for recurring communications.
  • Produce visual collateral for internal and external use.

4. Organizational and Member Communications Support

  • Create outward-facing documents and visual materials for:

o GAEYC members

o Partners and stakeholders

o Sponsors and affiliates

  • Support branding for reports, presentations, and formal communications.
  • Ensure materials meet accessibility and formatting standards.

5. Website Updates and Maintenance (Squarespace)

  • Update website pages in Squarespace as requested.
  • Upload and replace event flyers.
  • Update images, graphics, and banners.
  • Post approved event information and graphics.
  • Ensure links and event buttons function properly.
