Operations and Events Manager

Position Overview:

The Operations and Events Manager is responsible for end to end event sales conversion, event execution, and day to day operational coordination. This role ensures that leads are closed, events are executed smoothly, teams are aligned, and standards are consistently maintained without owner intervention.

Key Duties & Responsibilities:1️ Event Sales and Conversions

  • Own all birthday and event leads assigned through CRM
  • Ensure timely follow ups and closures as per SOP
  • Drive weekly event sales targets
  • Handle client communication from enquiry to confirmation
  • Coordinate packages, pricing, and custom requirements
  • Escalate risks early if targets are at risk

2️ Event Planning and Execution

  • Plan and execute birthday parties and events end to end
  • Ensure availability of supplies, food, drinks, decor, and activities
  • Coordinate staff schedules for events
  • Supervise event setup, execution, and breakdown
  • Ensure high guest satisfaction and handle on ground issues

3️ Operations and Team Coordination

  • Coordinate between reception, playgroup, shop, maintenance, and facility teams
  • Ensure roles and SOPs are followed on ground
  • Act as first escalation point for operational issues
  • Monitor daily operations and peak hour performance
  • Ensure cleanliness, safety, and readiness standards

4️ Systems and Reporting

  • Ensure CRM is updated accurately and on time
  • Track lead status, conversions, and lost reasons
  • Share weekly performance reports with management
  • Ensure cash handling, petty cash, and purchase records are accurate

5️ Process Improvement

  • Identify operational gaps and inefficiencies
  • Suggest improvements to SOPs and workflows
  • Support implementation of new systems and tools
  • Train staff on processes and service standards

Targets and KPIs

  • Weekly event sales target achievement
  • Lead to booking conversion rate
  • Event execution quality with zero major complaints
  • CRM accuracy and follow up compliance
  • Reduced last minute issues and escalations

Required Skills and Experience

  • 3 to 6 years experience in events, hospitality, kids entertainment, or leisure operations
  • Proven experience in sales closing and customer handling
  • Strong organizational and multitasking skills
  • Ability to manage teams and handle pressure calmly
  • Comfortable using CRM and basic reporting tools
  • Clear communication and leadership skills
  • Ownership mindset, calm under pressure
  • Solution oriented
  • Structured and disciplined
  • Respectful but firm with staff

General Requirements:

  • This role requires flexibility to work six days a week, including weekends and holidays, in alignment with Kids Zone’s operating hours.
  • Candidates should be prepared for physically demanding tasks and must adhere to company uniform and dress code standards.
