Job Overview
The Operations & Finance Manager supports the day-to-day administrative and financial operations of Working Food. The manager ensures accurate bookkeeping, strong internal systems, and smooth organizational functioning. This role is ideal for someone who is detail-oriented, systems-minded, and committed to supporting community-rooted work through strong operational infrastructure.

Essential Functions
Financial Management & Bookkeeping
- Accurately record, verify, and categorize financial transactions in accounting software while maintaining organized digital documentation.
- Reconcile all bank, credit card, and third-party accounts monthly to ensure accuracy.
- Manage accounts payable and receivable, including invoicing, deposits, revenue recognition, cash handling, and payment processing.
- File required payroll, sales tax, and other regulatory reports in a timely manner.
Grant & Reporting Support
- Track grant-related financial and reporting requirements in collaboration with the Executive Director and Program Directors.
- Prepare and compile monthly grant reports and invoice packages using Adobe and related software.
Operational Systems & Compliance
- Track and maintain insurance policies, licenses, contracts, and compliance documentation.
- Support renewal and acquisition of insurance, licenses, and required state and federal filings.
- Oversee software subscriptions and vendor renewals.
HR & Administrative Support
- Support HR administration, including onboarding documentation, background checks, and maintenance of personnel files.
- Assist with preparing documentation needed for annual performance reviews.
Qualifications
- Experience in bookkeeping and/or financial management, preferably within a nonprofit organization
- Strong spreadsheet skills and proficiency in Microsoft Office and Google Workspace
- Experience using accounting software; familiarity with Ramp and Xero is a plus
- Working knowledge of payroll processing, sales tax, and nonprofit compliance requirements
- Exceptional organizational skills and strong attention to detail
- Ability to work independently and manage multiple priorities

Hours and Compensation
- 20 hours per week
- $23–$25 per hour, commensurate with experience
- Annual cost-of-living and merit increases are considered by the Board of Directors

- Flexible schedule; the manager sets their own work hours
- Up to 90% of work may be performed remotely following successful completion of training
- Candidate must be located in Gainesville, Florida and able to visit the Working Food office once per week
