About the Role
Sly Fox Investigations is seeking a highly accountable Operations Assistant to play a central role in revenue generation, case management, and investigative oversight. This is a results-driven, operations-forward position, not a passive administrative role.
The Operations Assistant is primarily responsible for securing retainers from client consultations, managing active cases, and supervising investigators to ensure cases progress efficiently, ethically, and in compliance with company standards. This role directly impacts firm revenue, client satisfaction, and operational success.
Core Responsibilities
Client Consultations & Retainer Conversion (Primary Responsibility)
- Conduct initial client consultations via phone and email using approved scripts and frameworks
- Clearly explain investigative services, scope, timelines, pricing, and expectations
- Confidently secure signed service agreements and collect retainers prior to case activation
- Address client questions and objections professionally while maintaining firm boundaries
- Ensure all required intake documentation is complete, accurate, and compliant
Case Management & Investigator Supervision (Primary Responsibility)
- Oversee active cases from intake through completion
- Assign, coordinate, and supervise investigators on case tasks and schedules
- Monitor investigator performance, timeliness, and compliance with SOPs
- Review time logs, reports, and deliverables for accuracy and completeness
- Track case milestones, deadlines, and budget usage
- Proactively identify risks, delays, or issues and escalate to the Operations Manager when necessary
- Assist with monitoring live case activity as needed, including occasional evenings or weekends
Operations & Workflow Management
- Maintain accurate and up-to-date case files, trackers, and internal documentation
- Ensure cases are properly set up in the case management system
- Confirm all investigative work aligns with client agreements and legal requirements
- Support continuous improvement of workflows and internal processes
Client Communication & Case Updates
- Serve as a consistent point of contact for clients throughout the case lifecycle
- Send confirmations, updates, and routine communications
- Assist with the delivery of investigative findings and reports
- Escalate sensitive, complex, or high-risk client matters to the Operations Manager
Administrative, Billing & Compliance Support
- Track retainers, billing milestones, and case financials
- Assist with invoicing and internal financial documentation
- Follow all company SOPs, licensing requirements, and compliance standards
- Maintain strict confidentiality and professionalism at all times
What We’re Looking For
- 2–4 years of experience in operations, client intake, case management, or client-facing roles
- Proven comfort conducting consultations and securing payment/retainers
- Strong leadership presence with the ability to supervise and hold investigators accountable
- Exceptional organizational skills and attention to detail
- Ability to manage multiple active cases and competing priorities
- Clear, confident, and professional written and verbal communication
- Experience with CRM systems, case management software, or similar platforms preferred
- Ability to work independently in a professional office environment
