Position Overview

We are looking for a highly organized and detail-oriented Operations Assistant to support our office, project coordination, and internal administrative systems. This role helps keep projects running smoothly by maintaining accurate data, supporting trade partner onboarding, and assisting with general office operations.

Candidates must be able to commute to or relocate to Charlottesville, VA.

Key Responsibilities

• Maintain accurate project information across digital platforms
• Review daily project updates and assist with compiling weekly summaries
• Enter invoices, receipts, and project data into internal systems
• Assist with onboarding trade partners, including COIs and licenses
• Maintain organized digital and physical filing systems
• Answer phones, greet visitors, and manage incoming/outgoing mail
• Support procurement tasks and collection of digital assets (photos, documents, etc.)
• Assist with updating SOPs and internal workflows
• Provide support for special projects and day-to-day office needs
• Uphold company core values in all interactions with clients, vendors, and the team

Qualifications

• Strong organizational skills and a high level of attention to detail
• Proficiency in Google Workspace and Microsoft Office
• Comfortable learning new software and digital tools
• Previous administrative experience required; construction experience preferred
• Professional, respectful communicator with strong interpersonal skills
• Reliable transportation to our Charlottesville office

Compensation & Benefits

• $22-$25/hour (based on experience)
• 32 hours/week to start, with growth to 40 hours/week
