About Your Role

The Operations Assistant provides administrative and operational support to ensure the efficient coordination of activities across multiple projects, locations, and contracts.

In this role, you will support the Vice President of Operations and the broader operations team by assisting with scheduling, coordinating communications, tracking operational tasks, and supporting documentation across internal teams, vendors, and government stakeholders. This position helps maintain organization, visibility, and follow-through on operational priorities while supporting day-to-day operational needs.

Success in this role requires strong organizational skills, attention to detail, and the ability to support multiple operational activities in a fast-paced environment.

This role operates in a fast-paced environment where professionalism, discretion, and operational awareness are essential. The position also requires flexibility for frequent, sometimes short notice travel to support operational activities at project sites, corporate meetings, and government installations.


What’s a Typical Day Look Like?

No two days in this role are the same. You may begin the morning reviewing the Vice President’s calendar to ensure meetings align with operational priorities, preparing briefing materials for leadership discussions, or coordinating travel logistics for upcoming site visits.


Throughout the day, you may facilitate executive communications, track action items from operational meetings, and ensure internal teams remain aligned with project timelines and deliverables. You will serve as a key coordination point between departments, helping maintain visibility across projects and ensuring that operational priorities remain on track.


Your role may also involve organizing operational documentation, coordinating communications with vendors and internal teams, and assisting with routine reporting and administrative tasks that support daily operations. You may help coordinate travel logistics, assist with meeting preparation, and track operational tasks or follow-up items to ensure projects and site activities remain organized and on schedule. Your support helps the operations team maintain visibility across ongoing work and ensures operational activities run efficiently.


What You'll Do


Operations Scheduling & Coordination
– Manage and optimize the Vice President’s schedule to ensure alignment with operational priorities, site activities, and leadership commitments across multiple locations and time zones.

Executive Meeting Preparation – Prepare agendas, briefing materials, and supporting documentation for executive meetings while capturing notes and ensuring timely follow-up on action items.

Operational Coordination & Project Tracking - Maintain visibility across operational initiatives by tracking project milestones, deadlines, and deliverables to ensure progress and accountability across teams.

Stakeholder Communication & Liaison – Serve as a key liaison between the Vice President and internal departments, vendors, contractors, and government stakeholders while managing and prioritizing incoming communications.

Travel Coordination & Field Support – Plan and coordinate complex travel arrangements, including flights, lodging, transportation, and site access documentation. Accompany the Vice President on travel when operational support is required.

Documentation & Executive Reporting – Prepare executive summaries, operational updates, and professional correspondence while maintaining structured documentation and organized digital files.

Vendor & Operational Support – Assist with coordination of vendor communications, operational documentation flow, and administrative support related to ongoing operational initiatives.

Executive-Level Confidentiality – Handle sensitive operational and organizational information with professionalism, discretion, and confidentiality.


What We’re Looking For

Executive Support Experience – Prior experience supporting senior executives or operational leadership is strongly preferred.

Operational Awareness – Ability to understand operational priorities, anticipate leadership needs, and maintain visibility across multiple initiatives.

Exceptional Organizational Skills – Strong ability to manage competing priorities, complex schedules, and multiple deadlines while maintaining accuracy and attention to detail.

Professional Communication – Outstanding written and verbal communication skills with the ability to interact professionally with executives, vendors, and government personnel.

Discretion & Integrity – Demonstrated ability to manage confidential and sensitive information with professionalism and trust.

Technical Proficiency – Advanced working knowledge of Microsoft 365 tools including Outlook, Excel, Word, Teams, and SharePoint.

Adaptability & Initiative – Ability to operate independently in a fast-moving environment where priorities may shift quickly.

Travel Readiness – Willingness and ability to travel frequently, including short-notice travel, to support operational requirements and field activities.

Eligibility Requirements – Ability to obtain base access credentials is required, depending on operational assignments.
