As we continue to grow, we are looking for a highly organized and detail-oriented Operations Assistant with bookkeeping support experience to help strengthen our internal systems, financial accuracy, and day-to-day operations.

Position Overview
This role supports daily business operations and basic bookkeeping functions while working directly with the owner.
You will play a key role in maintaining accurate CRM records, processing orders, coordinating with vendors, and keeping financial records organized in QuickBooks Online.

Key ResponsibilitiesSales & Operations Support
- Maintain and update CRM records (notes, follow-ups, order status)
- Track open quotes, sales orders, and vendor purchase orders
- Process customer sales orders accurately
- Create and send purchase orders to vendors
- Monitor vendor confirmations, lead times, and shipping updates
- Assist with resolving pricing or quantity discrepancies
- Send customer invoices via email and postal mail
- Prepare monthly sales activity and reporting summaries
- Assist with reviewing new customer account applications
Bookkeeping & Financial Support
- Enter vendor bills and customer payments into QuickBooks Online
- Assist with accounts payable and accounts receivable tracking
- Monitor outstanding receivables and support collection follow-ups
- Record credit card transactions and business expenses
- Track vendor credits and ensure proper application
- Organize financial documentation for CPA review
- Assist with monthly reconciliation preparation
- Support basic financial and gross margin reporting
Vendor & Customer Communication
- Follow up with customers via phone and email
- Communicate professionally with vendors regarding POs and confirmations
- Document all interactions in CRM
- Ensure timely and consistent follow-up
Position Requirements
- Minimum 3 years experience in operations support, bookkeeping support, and administrative roles
- Experience with QuickBooks Online required
- Understanding of A/R, A/P, reconciliations, and basic accounting principles
- Strong proficiency in Microsoft Excel and Outlook
- Experience using CRM systems
- Strong written and verbal communication skills
- High attention to detail and accuracy
- Ability to manage deadlines and prioritize workload
- Ability to work independently and take initiative
- English fluency required; Spanish is a plus
- Comfortable working in a small business environment
