Operations Assistant – Multi-Location Catering Company

Duties

  • Assist with event planning logistics, including scheduling, vendor communication, and setup coordination to ensure successful catering events at multiple locations
  • Manage calendars using tools like Microsoft Outlook Calendar and Google Workspace to schedule meetings, appointments, and project deadlines
  • Provide executive administrative support by preparing documents, proofreading materials, transcribing notes, and handling correspondence with professionalism and accuracy
  • Oversee office management tasks such as filing, data entry, bookkeeping using QuickBooks, and maintaining organized records for multiple sites
  • Support project coordination efforts by tracking progress, updating status reports, and facilitating communication among team members
  • Handle front desk responsibilities, including multi-line phone systems, customer service inquiries, and maintaining a welcoming environment
  • Utilize computer literacy skills to perform clerical tasks efficiently while adhering to office procedures and protocols

Requirements

  • Proven experience in administrative roles with strong organizational skills and attention to detail
  • Familiarity with office management software such as Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and DocuSign for document signing processes
  • Experience with bookkeeping software like QuickBooks and basic accounting principles for accurate record keeping
  • Excellent typing speed and transcription skills to support documentation needs
  • Strong phone etiquette skills for professional communication with clients, vendors, and team members
  • Ability to manage multiple priorities simultaneously while maintaining accuracy and efficiency
  • Previous experience supporting executives or serving as a personal assistant is highly desirable
  • Knowledge of event planning processes and project coordination methods is a plus
  • Demonstrated office experience including filing systems, data entry, front desk operations, and clerical support
