Operations Associate

The Role

We are seeking a dependable, detail-oriented‑ Operations Associate to support ongoing operational support for Palindrome and portfolio companies, the daily financial operations, deal flow administration, investor platform management, executive logistics of the firm, and special projects.

This role is ideal for someone who thrives on routine, precision, and ownership—and who takes pride in being the person who keeps everything organized, current, and running smoothly.

Key Responsibilities

Financial Operations & Cash Management

  • Download monthly bank and credit card statements for all companies
  • Download, organize, and store all autopay bills monthly
  • Pay bills when directed
  • Run weekly check run every Tuesday
  • Make bank deposits as needed and ensure proper documentation

Operational Support

  • Assist Director in supporting portfolio companies through various tasks related to ongoing operations including managing reporting requirements
  • Manage Monday.com workflow management system to ensure deadlines are met
  • Maintain updated Operating Playbook
  • Assist in tracking documentation through due diligence process for companies under LOI
  • Create and update reports, as needed

Deal Flow Administration

  • Monitor deal flow inbox
  • Enter all inbound deal flow emails into the tracking system
  • Maintain deal status updates and support process flow

Executive Support

  • Manage calendars for leadership team and coordinate business travel
  • Schedule meetings, handle logistics, and manage follow-ups
  • Provide high trust‑ support involving sensitive information

Investor Platform Management

  • Manage Juniper Square, including document uploads, organization, communication and ongoing platform hygiene

What Success Looks Like

  • Financial documents are downloaded, organized, and available every month
  • Bills are paid accurately and on time
  • Deal flow is tracked consistently and thoroughly
  • Portfolio companies feel supported
  • Regular reporting is accurate, complete, and timely
  • Leadership never worries about scheduling, travel, or missing information
  • Juniper Square is clean, current, and investor ready

Qualifications

  • Experience in operations, bookkeeping support, administrative, or executive assistant roles
  • Strong organizational skills and attention to detail
  • Comfortable handling financial documents and recurring processes
  • High level of discretion and reliability
  • Proficient with Microsoft Office; comfortable learning new systems
  • Experience with Juniper Square or similar platforms is a plus
  • Experience with Monday.com or similar platforms is a plus

Pay: $21.00 - $26.00 per hour
