The Operations Associate plays a critical role in supporting the full deal lifecycle — from initial deal generation through post-close portfolio management. This role requires someone who is highly organized, detail-oriented, and capable of operating independently in a fast-paced environment with minimal supervision. The ideal candidate works independently.
Key Responsibilities
Deal Lifecycle & Pipeline Management
- Own and maintain deal tracking across active pipeline; update CRM (Pipedrive) daily with current status, next steps, and ownership
- Generate and distribute the weekly pipeline status report weekly
- Identify stalled deals, document blockers, and escalate per protocol
- Coordinate deal timelines and ensure all parties are aligned on critical milestones
- Manage and coordinate loan documentation from internal approval through closing; 100% closing checklist completion at close
- Organize and route financial documentation; track outstanding conditions in real time with 100% follow-up within 24 hours of identification
- Verify borrower-submitted information for accuracy and completeness before routing to underwriting
- Prepare deal status summaries and support investment committee preparation
Post-Close Portfolio Management
- Maintain post-close deal files in accordance with document retention standards
- Support ongoing portfolio monitoring and reporting as directed
Process & Systems
- Identify operational pain points and proactively recommend workflow improvements
- Adhere to established SOPs; flag gaps or inconsistencies and contribute to SOP updates
- Use available tools — including AI tools and internal documentation — as the first line of self-service before escalating
Qualifications
Required
- 4-6 years of experience in financial services operations, lending, private credit, or a related field
- Strong command of deal lifecycle mechanics — from origination through closing and post-close
- Demonstrated ability to manage multiple workstreams simultaneously with a high degree of accuracy
- Proficiency with CRM tools (Pipedrive or equivalent) and Microsoft Office Suite
- Comfortable using AI tools (e.g., Claude, ChatGPT) and written SOPs as primary resources for self-directed learning
- Exceptional written and verbal communication; knows how to synthesize
Preferred
- Familiarity with loan management systems and document management workflows
- Track record of contributing to process improvements in an operations or lending environment

Pay: $70,000.00 - $75,000.00 per year
