Position Summary
The Operations Associate is responsible for the day-to-day administrative operations of Conversance Business Solutions and Conversance CoWork. This role ensures the office runs smoothly, members and clients receive exceptional service, and administrative tasks are completed accurately and efficiently.
Responsibilities
- Greet clients, members, and visitors
- Manage front desk operations and phone calls
- Process incoming mail and virtual office mail notifications
- Maintain coworking space cleanliness and organization
- Assist with member onboarding and account setup
- Schedule appointments and manage calendars
- Update CRM (HubSpot) and client records
- Assist with invoicing and payment follow-up
- Prepare conference rooms for meetings and events
- Support business events, workshops, and networking functions
- Coordinate office supplies and inventory
- Assist with LLC filing and compliance tracking
- Support bookkeeping and administrative projects as assigned
Qualifications
- Strong customer service skills
- Excellent organization and attention to detail
- Experience with Google Workspace and Microsoft Office
- Ability to multitask in a fast-paced environment

Schedule
- 20 hours per week
- Monday-Friday
- Flexible daytime hours
Compensation
- $18-$22 per hour based on experience
