Position Overview
Suite Skin is seeking a highly organized, self-directed Operations & Client Services Lead / Licensed Esthetician to handle daily operations and client communication for our medical spa and wellness brand. This onsite role requires full ownership of scheduling, client follow-up, program execution, software systems, payments, and operational workflows across all services offered. The position demands exceptional multitasking, precision, professionalism, and the ability to independently manage a high volume of client interactions in a fast-paced clinical environment.

Required Experience
- Experience performing skincare treatments.
- Experience working in one of the following fields: medical spa, aesthetics, plastic surgery, dermatology, or wellness center.
Client Communication Requirements
- Handle all client communication, including in-person interactions, phone calls, texts, emails, and online inquiries
- Maintain an extremely professional, warm, welcoming presence with a friendly, inviting tone
- Deliver a consistent, high-touch client experience from initial inquiry through ongoing care
Service Knowledge & Sales Expectations
- Develop and maintain a strong understanding of all Suite Skin services, including cosmetic injectables, skincare and aesthetic treatments, and peptide and wellness programs
- Confidently educate clients on treatment options, pricing, and program benefits
- Recommend appropriate services and programs based on individual client needs
- Convert inquiries into booked appointments and program enrollments through informed, consultative selling
- Stay current on service offerings, protocols, and program updates
Scheduling & Daily Operations
- Personally handle scheduling for 3 providers and 1 technician
- Coordinate appointments across injectables, aesthetics, peptides, weight loss, and wellness services
- Handle reschedules, cancellations, follow-ups, and waitlists
- Ensure accuracy in service selection, timing, and provider availability
- Proactively fill schedule gaps to maximize bookings
- Handle daily front-desk operations and clinic flow
Program, Membership & Payment Management
- Handle peptide and wellness programs from inquiry through enrollment
- Process memberships, renewals, and recurring payments
- Reconcile membership payments with the business bank account
- Track billing accuracy and address discrepancies
- Handle payment-related follow-ups and outstanding balances
Software, Systems & Vendor Management
- Handle software updates, changes, and troubleshooting within Mindbody and related platforms
- Serve as the onsite point of contact for system-related issues
- Handle vendor relationships and contracts, including renewals and updates
Operational Processes & Workflow Execution
- Execute defined processes for client inquiries, scheduling, enrollments, follow-ups, and membership management
- Ensure tasks are completed accurately, consistently, and in the correct sequence
- Maintain organized documentation, client records, and internal notes
Mindbody & EMR (RxPhoto)
- Handle all client scheduling, profiles, memberships, payments, and communication through Mindbody
- Support non-clinical RxPhoto workflows, including intake tracking and documentation coordination
- Ensure records remain complete, organized, and up to date
Required Skills & Qualifications
- Licensed Esthetician in NYS
- Exceptional organizational and time-management skills
- Proven ability to multitask in a high-volume environment
- Strong in-person and phone presence with a calm, welcoming demeanor
- Excellent written and verbal communication skills
- Sales-minded and confident educating and guiding clients
- Reliable, accountable, and self-directed
- Prior experience with cosmetic injectables, aesthetics, plastic surgery, dermatology, or wellness programs

Pay: $27.00 - $35.00 per hour
