About the Role
eXFinancial, Inc. is a CPA-led advisory and accounting firm serving 300+ clients. We're hiring an Operations & Client Success Director to be the professional, polished front door of our business — the person clients trust, our founder relies on, and our systems run through.
This role owns day-to-day client operations end to end: communication, scheduling, and billing follow-through, and representing the firm well in every interaction — whether that's a warm client check-in, a sales-adjacent conversation, or occasionally a billing conversation handled with professionalism and grace. We're looking for a true operator: organized, personable, and comfortable being the gatekeeper who keeps everything running smoothly — not a collections specialist.
What You'll Own
Client Relationships & Front-of-House
- Be the warm, professional first point of contact for clients — messages, calls, scheduling, and general questions
- Own the daily backlog of client communication — nothing sits unanswered more than 24 business hours
- Run intake for new leads and route them correctly; comfortable on sales-adjacent or discovery-style calls
- Act as a thoughtful gatekeeper for the founder's time — routing, prioritizing, and handling what doesn't need her personal attention
Billing, Collections & Client Care
- Own the accounts receivable pipeline — friendly, proactive follow-up on outstanding invoices before they go stale
- Ensure completed work is actually invoiced and collected in a timely, professional manner
- Notice and address early signs a client relationship needs attention (a payment lapse, an unanswered message, a service question) before it becomes a bigger issue
- When a billing disagreement or dispute does arise, handle it calmly and professionally, and know when to loop in the founder or documentation support
Operations & Documentation
- Coordinate with bookkeeping and accounting support staff on deliverable tracking
- Maintain clean, organized records (engagement letters, invoices, delivery confirmations) as a matter of good operating practice
- Manage relationships with practice management and billing software vendors
What We're Looking For
- Proven experience in client success, account management, front-of-house operations, or sales support for a service-based business (accounting, legal, consulting, hospitality, or similar preferred)
- You should be someone who stays calm and effective in difficult client conversations, including occasional billing or payment discussions — this is where you'll add real value
- Strong written and verbal communication — you'll represent the firm directly to clients and, on occasion, on sales-adjacent calls
- Highly organized, self-directed, and comfortable owning outcomes without daily oversight
- Familiarity with CRM/invoicing platforms (Keap/Infusionsoft, QuickBooks, or similar) a plus
Compensation Structure
- Base salary: $24,000–$36,000/year ($2,000–$3,000/month)
- Performance bonus tied to accounts receivable actually collected each month
- Milestone bonuses at key operational checkpoints (client backlog cleared, dispute rate reduced, first full independent operating cycle)
