Key Responsibilities
Service Division Support
- Help schedule, dispatch, and coordinate service technicians for daily jobs and emergency calls.
- Communicate with customers before and after service appointments to confirm details, gather feedback, and ensure satisfaction.
- Track service job progress, update job notes in our CRM, and follow up on open tasks.
- Assist with estimating and proposal preparation by gathering documentation, permits, and materials lists.
Projects Division Support
- Support project managers with scheduling, documentation, and subcontractor coordination.
- Help prepare and organize project documentation (submittals, permits, drawings, change orders, etc.).
- Track project milestones and maintain internal project schedules to ensure timelines and deliverables are met.
- Communicate with clients, site contacts, and field crews regarding logistics, site readiness, and scheduling updates.
- Help prepare invoices and ensure timely payment from customers.
Operations & Administrative Duties
- Assist with materials procurement coordination and delivery logistics.
- Support invoice tracking, job costing updates, and closeout documentation.
- Help maintain and improve internal workflows and communication between office staff, field teams, and clients.
- Handle occasional office administrative tasks such as filing, vendor coordination, and updating company records.
Qualifications
- 2+ years of experience in operations coordination, project coordination, dispatching, or office management (home services or construction industry preferred).
- Strong organizational and multitasking skills with the ability to manage competing priorities.
- Excellent written and verbal communication skills.
- Proficiency with scheduling software, CRMs, or field service management tools (ServiceTitan experience is a plus).
- Proficiency in marketing or sales also helpful.
- A proactive, problem-solving mindset with the ability to anticipate needs and follow through without constant supervision.

Pay: $50,000.00 - $60,000.00 per year
