SUMMARY:
Oversees the operational aspects of the shelter and provides support to the Executive Director, Animal Care and Pathways Coordinator and the Veterinarian to ensure the safety and comfort of animals in Stray Hearts’ care. Key responsibilities include supervising front staff to ensure maintenance of sanitary and humane conditions for all animals; creating and enforcing policies and standard operating procedures; managing shelter inventory and ordering processes; and maintaining accurate records and data related to animal care and shelter populations. This position will collaborate with other coordinators to ensure the effective and consistent delivery of the Stray Hearts mission.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
STAFF SUPERVISION
- Directly supervises the work of animal care staff.
- With the support of the Executive Director, participates in interviewing, hiring, evaluating and if necessary, terminating employment.
- In conjunction with the Executive Director, ensures new hires, evaluations, performance improvement plans, documentation, and employment terminations are done in accordance with the current policies in the Employee Handbook.
- Supervise, train, and support a team of shelter staff and volunteers.
- Manage scheduling for animal care staff, ensuring sufficient coverage for essential functions
- Address and resolve interpersonal conflicts among shelter staff and/or members of the public in a timely and professional manner.
OPERATIONS
- Foster a positive and productive work environment by promoting teamwork, accountability, and professional development.
- Foster a positive working environment for staff and volunteers.
- Reconcile daily accounting of income.
- Assist with budget preparation and budget management.
- Hire, manage, evaluate and support front desk staff.
- Ensure public and common staff areas are clean, staffed and maintained.
- Identify facility maintenance, repair or improvement needs and assign priorities.
- Obtain quotes for facility maintenance, communicate cost information ensure the work is completed satisfactorily.
- Works with Grant Manager to secure funding.
- Assist coordination with suppliers and contractors.
- Assist with maintaining compliance with federal, state and local regulatory requirements.
- Maintain accurate inventory of supplies to ensure continued operations and safe and healthy care of the animals.
- Maintain shelter vehicles including licensing, registration, routine maintenance and repairs.
- Provides support to animal care workers if needed
- Ensure timely data management and reporting as needed.
- Work with staff and volunteers to help:
- Ensure the health and safety of all animals in the shelter.
- Ensure the animals are ready to be placed when available for adoption.
- Assess and determine ability to accept owner-surrendered animals.
- Facilitate recruitment, retention and recognition of shelter volunteers including foster caregiver evaluation and follow up.
- Facilitate coordination of and effective communication between shelter staff and transfer partners.
- Plan and facilitate fundraising, adoption, vaccination and educational events and programs.

SUPERVISORY RESPONSIBILITIES:
Responsible for direct supervision of front office staff. Indirect supervision of other positions as assigned.
QUALIFICATIONS:
EDUCATION AND EXPERIENCE:
- High School Diploma or GED, Associate or Bachelors degree preferred
- Basic knowledge of business practices, ability to understand budgets and shelter statistics.
- At least one year of supervisory or management experience, preferably in an animal care facility.
- Ability to lead and maintain a high level of professionalism while representing Stray Hearts within the community and with vendors.
- Ability to prioritize and follow tasks through to timely completion.
- Strong reasoning and mathematical skills.
- Computer knowledge and skills.
- Proficiency in MicroSoft and Google Suites. Experience with Canva, ShelterLuv and Donor Perfect preferred.
- Ability to communicate through social media.
- Possess and demonstrate enthusiasm and passion for the humane treatment of animals.
- Certification in Shelter Management or equivalent experience preferred.
ADDITIONAL REQUIREMENTS:
- Must be able to read, write and speak in English. Proficiency in Spanish desired.
- Strong verbal and written communication skills.
- Proven ability to navigate difficult situations.
- Must be a detail oriented, organized individual with the ability to multi-task.
- Must possess a pleasant, friendly and polite manner for dealing with the public as well as staff.
- Must have the ability to understand procedures and regulations and adhere to them.
- Must have a strong sense of accountability and ability to work in a fast paced environment.
- Must have the ability to read, analyze and interpret basic instructions furnished in written, oral or diagram form.
WORK ENVIRONMENT:
- While performing the duties of the position, the employee is frequently required to stand, walk, turn, use hands and fingers to handle and feel, reach with hands and arms, talk, and hear.
- Must be able to lift, carry, push and or pull up to 50lbs.
- Must be able to work at a fast pace and in stressful situations.
- Must be able to maneuver around the office and the facility, as needed.
- Must be able to work various hours including nights and weekends.
- Physical ability to safely perform the essential job functions of the position.
- Must be comfortable working in an environment with animals of all types, sounds, and scents.
ADDITIONAL INFORMATION:
The noise level in the work environment is usually loud. Employee duties are performed indoors in climate-controlled space as well as outside with exposure to weather.
Hazards include working with and around animals, equipment and chemicals. All must be properly handled or they can be potentially hazardous.
