Overview
Responsible for supporting daily operations including invoicing, vendor settlements, and shipment coordination for fruit and citrus products. This role ensures accurate processing of purchase orders and financial documentation while coordinating with sales teams, packinghouses, carriers, and internal departments to maintain timely and efficient product movement. Responsible for monitoring shipments, resolving transportation issues, and supporting overall operational continuity.
Duties
- Conduct dispatch operations for fruit and citrus shipments across various transportation carriers, ensuring timely outgoing and incoming product movement.
- Coordinate daily with operating departments, fresh fruit sales personnel, packinghouses, and third-party logistics providers to support shipment planning and execution.
- Monitor shipments in transit, communicate delays or issues, and take corrective action with carriers to resolve service problems.
- Advise internal teams on transit schedules, equipment availability, freight rates, and shipment status.
- Enter all daily purchase orders into NAV and manage all outside fruit purchase activities, including vendor settlements and broker buy settlements.
- Process monthly invoices in Famous and NAV, including Costco, broken pallets, no pallet tags, grape invoices, garlic, export storage, repacking, and all add-on business; distribute invoices to Corporate and customers.
- Coordinate new vendor setup, including NAV supplier forms, W-9 collection, and wire forms for purchase orders as needed.
- Work with the accounting department to reconcile and resolve claims related to outside fruit purchases and grower settlements.
- Assist in the movement of sourced finished goods and citrus commodities
- Collaborate with sales staff and operational teams to identify and resolve transportation-related issues affecting product flow or customer service.
- Performs other duties as assigned.
Experience
Experience in transportation or related field.
Possesses proficiency in the use of common applications in Microsoft Office (Word, Excel, and Outlook).
- Ability to be well organized in terms of collecting and accessing work related documentation.
- Ability to communicate effectively both verbally and in written form; Must be able to communicate effectively with customers and employees, therefore operational knowledge of processes and policies necessary.
- Ability to properly evaluate errors and know what corrective action to take.
- Ability to solve complex problems and implement solutions.
- Possesses an above average mathematical skills.
- Ability to safely and successfully perform the essential functions consistent with company standards, and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
- Ability to talk, listen and speak effectively on telephone; read, write and understand written documents and policy; sit for sustained periods of time.
- Ability to process (review/organize) large amounts of information containing many components in a work environment with varying levels of distractions.
- Ability to sort through extraneous information on phone calls in order to determine primary issue(s).
- Ability to shift from an involved project to handle an immediate need and then focus back to original project rapidly.
- Ability to work with changing deadlines and competing priorities.
