Overview
As our Operations Coordinator, you are the hub of daily operations. You’re the first voice customers hear when they call, the person who builds the day’s service schedule, the dispatcher who keeps our drivers on route, and the one who makes sure every job is completed, documented, and closed out correctly. If you like solving problems, juggling moving pieces, and delivering great customer service, this role is for you.

What you'll do

  • Utilize Software! — Work daily in software platforms including industry specific software and AI (Claude and/or other platforms)
  • Answer customer calls and emails — field service requests, quote routine and one-time jobs, schedule pickups, and resolve questions promptly and professionally.
  • Schedule and dispatch jobs — build efficient daily and weekly routes, assign work to drivers, and adjust the schedule in real time when priorities change.
  • Manage jobs in progress — track drivers throughout the day, communicate ETAs and changes to customers, and troubleshoot issues as they come up.
  • Close out completed jobs — confirm work is done, capture service documentation and certificates of destruction, and hand off clean information for invoicing.
  • Keep records accurate — maintain customer accounts, service histories, and job details in our scheduling and CRM software.
  • Support new business — follow up on leads, prepare quotes, and help onboard new accounts.
  • Improve how we work — spot bottlenecks and suggest ways to make our scheduling, dispatch, and customer communication faster and smoother.

What we're looking for

  • AI users (claude or other platforms)
  • Fast learner in new software platforms
  • 2+ years in dispatch, scheduling, customer service, logistics coordination, or a similar operations role.
  • Excellent phone and written communication — friendly, clear, and professional with customers.
  • Strong organizational skills and the ability to juggle multiple jobs and priorities without dropping the ball.
  • Comfortable with computers and software — scheduling/dispatch tools, CRM, email, and spreadsheets; quick to learn new systems.
  • Calm and resourceful under pressure; a problem-solver who takes ownership.
  • Dependable, punctual, and a team player.
  • High school diploma or equivalent required.

Nice to Have

  • Experience in shredding, records management, waste/route services, field services, or fleet/trucking operations.
  • Familiarity with routing or dispatch software and QuickBooks Online.
  • Knowledge of metro Atlanta geography and traffic patterns.

Schedule & Location
Full-time, Monday–Friday, daytime business hours. This is an on-site role at our metro Atlanta facility — dispatch and customer coordination work best in person, especially while you’re learning the operation.

Compensation & Benefits

  • Pay: $45,000–$58,000 per year, based on experience.
  • Potential for incentive bonus compensation on top of base pay
