Job Summary
We are seeking a dynamic, detail-oriented, and service-driven Operations Coordinator / Certified Phlebotomy Technician (CPT I) to join our growing team. This key role combines patient-facing specimen collection responsibilities with front-office administration, scheduling, billing support, and daily operational coordination.

Duties & Responsibilities'
Clinical / Collection Duties
- Perform venipuncture and capillary blood draws using proper aseptic techniques
- Collect urine, oral fluid, hair, and other specimens per chain-of-custody procedures
- Process, label, package, and prepare specimens for shipment to partner laboratories
- Maintain specimen integrity, documentation accuracy, and proper storage procedures
- Ensure patient comfort, professionalism, and confidentiality during all collections
Operations / Administrative Duties
- Coordinate daily office operations and maintain smooth workflow
- Manage scheduling, appointments, walk-ins, and client communications
- Answer phones, emails, and front desk inquiries professionally
- Maintain patient records, intake forms, and compliance documentation
- Assist with opening and closing procedures
- Order and track office / laboratory supplies as needed
Billing / Office Support Duties
- Generate invoices, receipts, and payment records
- Process transactions and maintain accurate daily balancing
- Assist with bookkeeping and accounts receivable follow-up
- Support QuickBooks or similar systems for financial tracking
- Prepare reports for management review
Leadership / Growth Duties
- Help train new staff on procedures and workflows
- Assist management in improving systems and efficiency
- Support quality assurance and audit readiness initiatives
- Promote a positive, accountable, team-oriented workplace culture
Qualifications
Required
- Active California Certified Phlebotomy Technician (CPT I) certification
- High school diploma or GED
- Prior experience performing venipuncture in a clinical setting
- Strong computer skills and comfort with office software systems
- Excellent communication and customer service skills
- Ability to multitask in a fast-paced environment
- Ability to pass background screening for fingerprinting / Live Scan eligibility
Preferred
- Bilingual English / Spanish
- Experience in occupational health, drug testing, or laboratory services
- Familiarity with QuickBooks or bookkeeping systems
- Previous supervisory or lead experience
- Knowledge of DOT collections, Live Scan, or biometric services
