Operations Coordinator (Experienced in UAE residence visa processing)

In this role, you’ll play a key part in ensuring a smooth client experience — from handling company-related procedures and coordinating essential documentation, residency and visa applications, renewals, and license updates. You will act as the key liaison between clients, internal teams, and government entities, ensuring all processes are handled efficiently, accurately, and on time. The main responsibilities of this role will include:

· Serve as the primary point of contact for clients, handling inquiries, addressing concerns, providing updates, and ensuring seamless client engagement.

· Manage end-to-end UAE visa processing, including applications, renewals, cancellations, and amendments.

· Coordinate and submit visa, Emirates ID, labour card, and license-related applications through MOHRE, ICP, GDRFA, Freezone, and other relevant government portals.

· Track visa and license expiry dates, proactively notifying clients and managing renewals to ensure full compliance with UAE regulations.

· Manage end-to-end renewal and amendment processes for mainland and free zone licenses.

· Liaise with government authorities and internal PRO teams to ensure timely and accurate processing of applications.

· Manage and monitor client accounts, ensuring accuracy in billing, invoicing, and financial reconciliation.

· Coordinate with internal departments to facilitate smooth service delivery and resolve any operational or service-related issues efficiently.

· Maintain accurate and up-to-date client records, ensuring all applications, approvals, correspondence, and supporting documents are properly documented in internal systems.

· Prepare and analyse client account and operations reports, tracking key metrics such as account status, service timelines, payment history, and outstanding matters.

· Stay informed on UAE immigration laws, labour regulations, and government procedure changes, advising clients and internal teams accordingly.

· Participate in client meetings and presentations, proactively addressing client needs and expectations.

· Provide insights and feedback to management on client trends, account-related concerns and process improvement opportunities.

· Represent the company professionally at events and on digital platforms.

Education: Degree in business or similar

Experience:

· 2-4 years of experience in client account management, visa processing or a similar role, preferably within the corporate, or professional services industry.

Skills and Knowledge:

  • Knowledge of UAE visa process and UAE government platforms (such as MOHRE, ICP, GDRFA, or Freezone portals)
  • Excellent Communication and Interpersonal skills

· Strong analytical thinking and problem-solving abilities

· Proficiency in MS Office

· Experience with CRM or account management software.
