Operations Coordinator (Tier 1)

Operations Coordinator

Location: Remote (U.S.-based required)
Schedule: Monday–Thursday, 10:00 AM – 4:00 PM CST (core hours)
Reports To: CEO (with dotted line to Director of Client Experience & Director of Projects & Contracts)

Position Overview

Creativity Justified is seeking a highly detail-oriented and accountable Operations Coordinator to support day-to-day agency operations, ensuring all tasks, reporting, and workflows are executed accurately and on time.

This role is responsible for tracking, verifying, and reporting on operational activity across all departments, including Client Experience, Creative, Projects, and Business Development.

The ideal candidate is highly organized, proactive, and committed to accuracy—someone who ensures that what is reported as complete is actually complete.

This is not a passive or administrative role. This position requires active follow-up, cross-team coordination, and real-time visibility into agency operations.

Key Responsibilities
Task Tracking & Accountability

  • Monitor and track task completion across all departments
  • Ensure all client-related tasks are completed on time and accurately
  • Follow up with team members on outstanding or overdue tasks
  • Identify and escalate delays, gaps, or risks proactively

Reporting & Systems Management

  • Manage and execute weekly reporting workflows through Dubsado, including:
  • Weekly Task Status Reports (entire team)
  • Weekly Director Reports
  • Follow up on all report submissions and ensure completion by deadlines
  • Maintain accurate records of all operational data and reporting

Daily CEO Reporting

  • Submit a daily report summarizing:
  • Client status (Green / Yellow / Red)
  • Completed vs. outstanding tasks
  • Team responsiveness and accountability
  • Risks, delays, or operational concerns
  • Recommended actions or solutions

Weekly Operational Oversight

  • Provide weekly summaries including:
  • Full team availability and capacity
  • Outstanding proposals and invoice statuses
  • Upcoming bids and deadlines
  • Client health overview
  • Operational risks and bottlenecks

Meeting Coordination & Standup Leadership

  • Lead Daily Standup Core meetings (Tuesday–Thursday)
  • Capture action items and ensure follow-through
  • Provide a summary of each standup to CEO by 11:30 AM CST

Calendar & Administrative Execution

  • Support CEO calendar management, ensuring updates are executed accurately and promptly
  • Confirm completion of all calendar changes and scheduling requests

Performance Tracking Support

  • Track and support scheduling of:
  • 90-day performance reviews
  • Annual performance reviews
  • Maintain visibility into team performance timelines

Qualifications

  • 2–4+ years of experience in operations, project coordination, or administrative support
  • Strong organizational and time management skills
  • Experience with project management and CRM tools (Asana, Basecamp, Dubsado, etc.)
  • Excellent written and verbal communication skills
  • Ability to manage multiple tasks and priorities simultaneously

Compensation

Tier 2: $17.75 – $21.00 per hour
Part-time to start (20–30 hours/week), with potential to grow based on performance

  • Performance-based growth and advancement opportunities
  • Potential to evolve into Operations Lead/Manager role based on demonstrated execution

  • Tasks must not be marked complete unless fully executed
  • This role requires active follow-up and cross-team accountability
  • Hours must align with documented work and completed outputs

Pay: $17.75 - $21.00 per hour
