The Operations Dispatch Coordinator role is a crucial role in coordinating the daily activities of Engineered Comfort Installation and Service personnel, assisting customers, and ensuring that the company’s services are delivered efficiently and effectively.
Their duties and responsibilities include:
- Coordinating and dispatching Engineered Comfort personnel to customer locations
- Answer incoming phone calls and get urgent messages to the appropriate party.
- Assist in scheduling/setting up our contract customers preventing any missed services. (Dispatching)
- Pull/keep up with Permits & inspections scheduled
- Inventory management within software
- Filing/Data Entry
- Keep up with purchase orders
- Assist in batching invoices
- Assist in collecting Past Due invoices
- Assist in service billing
- Dispatch technicians to service calls and maintain technician schedules.
- Prioritize calls according to customer and/or operational need.
- Coordinate and maintain on-call schedules for technicians and after-hours procedures.
- Schedule calls, enter service calls, and debrief with technicians.
- Maintain complete, accurate and updated information in the customer database.
- Effectively manage conflict resolution with customers through clear communication, addressing all concerns, questions, or problems expediently.
- Promptly report any service issues to the appropriate manager to ensure customer satisfaction is maintained.
- Address all concerns, questions and problems from customers and technicians. Utilize clear communication to manage conflict resolution.

- Parts Orders
- Other duties compatible with personnel management, accomplishing operations tasks and customer interface are also assigned to this position as applicable
We are seeking a skilled person with trade level experience for the dispatching and logistics coordination of the Engineered Comfort Memphis office, to manage service calls and project scheduling effectively.
Qualifications
- An excellent communicator, able to remain calm and composed, especially in emergency situations
- Customer-oriented approach and familiarity with HVAC industry terminology and operations.
- Proven experience as dispatcher or relevant position
- Experience with ServiceTitan software is a big advantage
- Effective data entry skills with experience
- Knowledge of procedures and guideline for emergency situations
- Proficient in English (oral and written)
- Proactive approach with outstanding organizational abilities
- Active listener with excellent communication skills
- Sound judgement, strategic skills and critical thinking
- High school diploma or equivalent; Higher degree in a relevant discipline will be appreciated
