This is a detail-heavy, systems-driven role with a growth path into program leadership over time.

Job Summary

We are seeking an organized, proactive, and relationship-focused Operations & Engagement Assistant to support the continued growth of the Unseen Guardians program.

This role combines administrative operations, communication management, engagement support, and event coordination to ensure every Guardian receives a consistent, high-quality experience. The ideal candidate is highly organized, dependable, and able to manage multiple moving pieces while maintaining strong attention to detail and follow-through.

You’ll work closely with the Unseen Guardians Coordinator to help build structure, maintain momentum, and improve systems that allow the program to scale effectively.

Responsibilities

  • Manage onboarding for new Guardians from commitment through activation
  • Maintain accurate data across CRM and communication platforms
  • Execute timely follow-up and ongoing communication with Guardians
  • Support newsletters, updates, and engagement communications
  • Coordinate Guardian spotlights, social media support, and website updates
  • Assist with event planning, scheduling, logistics, and post-event follow-up
  • Track payments, engagement details, and program updates
  • Help maintain organized systems, processes, and documentation
  • Identify opportunities to improve workflows and operational efficiency
  • Support calendar coordination, meeting preparation, and administrative tasks as needed
  • Help create a welcoming, professional, and mission-driven experience for Guardians and partners

Requirements

  • Strong organizational and time management skills
  • Excellent written and verbal communication abilities
  • High attention to detail and strong follow-through
  • Ability to manage multiple projects and deadlines simultaneously
  • Comfortable learning and working within CRM systems and digital platforms
  • Proficiency in Google Workspace and/or Microsoft Office tools
  • Ability to work independently while also collaborating closely with a team
  • Professionalism, adaptability, and a solution-oriented mindset
  • Experience in administrative support, operations, customer engagement, nonprofit work, or project coordination preferred but not required
  • Passion for mission-driven work and community impact

Pay: $18.00 - $22.00 per hour
