The Operation Executive is responsible for coordinating, managing, and executing day-to-day travel operations. This role ensures smooth functioning of tour packages, reservations, vendor management, customer satisfaction, and internal process efficiency. The ideal candidate is detail-oriented, well-organized, and experienced in handling travel logistics.
Key Responsibilities:
1. Tour Operations & Coordination
- Plan, coordinate, and execute domestic and international tour itineraries.
- Ensure all bookings (flights, hotels, transfers, activities) are confirmed and accurate.
- Monitor daily operations and resolve any travel-related issues promptly.
- Prepare travel documents such as vouchers, itineraries, invoices, and confirmations.
2. Vendor & Supplier Management
- Communicate with hotels, airlines, DMCs, transport providers, guides, and other partners.
- Negotiate competitive rates and maintain strong supplier relationships.
- Ensure timely payments, confirmations, and service delivery from vendors.
3. Customer Service & Support
- Serve as the primary operational contact for clients before, during, and after travel.
- Handle special requests, complaints, and last-minute changes professionally.
- Provide accurate travel information, destination updates, and support.
4. Documentation & Compliance
- Ensure all travel bookings comply with company policies and industry regulations.
- Maintain updated travel records, reports, and MIS documentation.
- Assist with visa processing, insurance support, and travel guidelines.
5. Coordination with Internal Teams
- Work closely with the sales team to clarify client requirements and confirm tour details.
- Collaborate with finance for billing, vendor payments, and client invoicing.
- Support product development with insights on packages, pricing, and operations.
Required Skills & Qualifications:
- Bachelor’s degree in Tourism, Hospitality, Business Administration, or related field.
- 1–3 years of experience in travel operations or a similar role (depending on level).
- Strong knowledge of GDS/CRS systems (Amadeus, Galileo, Sabre) is a plus.
- Excellent communication and negotiation skills.
- Proficiency in MS Office (Excel, Word, Outlook).
- Ability to multitask, prioritize, and work under pressure.
- Strong attention to detail and problem-solving skills.
