We are seeking a detail-oriented
Operations Executive – Stand Services
to support the Operations Team in delivering high-quality exhibitor and stand services across exhibitions.
This role plays a critical part in ensuring exhibitors and contractors receive accurate information, timely approvals, and professional support throughout the pre-event, onsite, and post-event phases. The ideal candidate will be organised, proactive, and comfortable working in a fast-paced exhibitions environment.
Key Responsibilities
Project & Operations Support

Support the Operations team in managing timelines and key deadlines for allocated events

Assist with the timely launch and maintenance of the Exhibitor Manual
-
Track progress against deadlines and provide weekly status updates
-
Support post-event reporting and contribute to operational improvements
-
Maintain accurate documentation on shared drives
-
Assist the wider operations team as required
Exhibitor Manual & Customer Service
-
Collate and update content for the Exhibitor Manual
-
Ensure exhibitor deadlines and information are accurate and clearly communicated
-
Distribute login credentials and assign exhibitors to relevant agents
-
Manage exhibitor and contractor queries via shared mailboxes, responding within agreed SLAs
-
Send reminder communications in line with data and communication guidelines
-
Support secure data handling and file sharing processes
Stand Design & Approvals
-
Receive, review, and process stand design submissions
-
Follow up on missing or pending documentation
-
Liaise with venues and relevant stakeholders for stand approvals
-
Prepare exhibitor lists and floorplans for review
-
Schedule floorplan checks with internal teams
-
Assist with performance bond processing and refunds in coordination with Finance
-
Process additional stand services (e.g. banners, double-deck charges, upgrades)

Track and report stand design submission status to the Operations Manager

Ensure compliance with venue regulations and health & safety requirements
-
Maintain records of onsite stand changes
-
Issue vehicle passes and contractor badges
-
Provide shell scheme and pavilion sqm data as required
Floor Planning
-
Read and interpret floor plans to ensure regulatory compliance
-
Support minor floor plan updates or changes using AutoCAD (where applicable)
Relationship Management & Communication

Build positive working relationships with exhibitors, contractors, suppliers, venues, and internal teams

Maintain professional, clear, and consistent communication at all times
-
Attend internal team meetings and supplier planning meetings
-
Provide regular updates on exhibitor lists, floorplans, and order form submissions

Respond calmly and efficiently to requests and operational issues
-
Support and manage floor management teams onsite when required
-
Prepare post-event reports covering queries, incidents, and recommendations
Skills, Experience & Qualifications
Essential
-
1–2 years’ experience in exhibitions or event operations
-
Strong organisational skills with high attention to detail
-
Ability to manage multiple tasks and deadlines simultaneously
-
Calm and effective under pressure in a fast-paced environment
-
Strong written and verbal communication skills
-
Proactive, reliable, and team-oriented
-
Proficient in MS Office (Word, Excel, Outlook, PowerPoint)
-
Willingness to travel within the MENA region
Desirable
-
Experience in stand design coordination or floor management
-
Knowledge of project management tools such as Monday.com or Smartsheet
-
AutoCAD experience (floor plan reading or minor amendments)
-
IOSH or Health & Safety certification
