The Operations Manager supports the day-to-day functioning of Chiefs for Change by ensuring that operational systems, processes, and tools run smoothly across the organization. Reporting to the Chief People Officer, this role serves as the primary point of contact for the CEO’s internal and external communications, manages executive scheduling and logistics, provides administrative and logistical support for operations, vendor management, and internal communications. The Operations Manager helps keep the organization organized, compliant, and efficient—allowing staff to focus on advancing CFC’s mission of supporting bold education leaders and place-based transformation in school systems and communities.
Executive & Board Support

Serve as the primary point of contact for the CEO’s internal and external communications.

Manage the CEO’s calendar, including scheduling meetings, coordinating logistics, and resolving conflicts.

Draft and send emails on behalf of the CEO, maintaining a professional and aligned communication style.

Prepare and distribute board materials, ensuring accuracy and timely delivery.

Coordinate all travel arrangements for the CEO, including booking flights, accommodations, and transportation.

Assist with meeting preparation, including gathering necessary materials, preparing agendas, and taking notes.

Support special projects and initiatives assigned by the CEO or leadership team.
Operational Systems & Processes

Administer and maintain key organizational systems (Slack, Google Workspace, Asana, Paylocity, etc.) to ensure efficient operations.

Support the creation, documentation, and implementation of standard operating procedures (SOPs).

Maintain organizational records, calendars, and shared drives for efficiency and data integrity.

Assist with operational audits, compliance documentation, and other administrative processes.

Manage shared calendars, folders, and recordkeeping for operational documentation.
Vendor & Contract Coordination

Track contracts, renewals, and vendor payments in coordination with the finance team.

Support the onboarding and monitoring of vendors to ensure timely deliverables and compliance.

Process invoices and assist with purchase orders, ensuring accuracy and timeliness.

Support procurement processes and maintain records of contracts, insurance, and renewals.
Systems & Data Management

Maintain accurate operational records, including licenses, insurance, and compliance documentation.

Support data integrity within HR and project management systems.

Assist with collecting and organizing data for operational reports and dashboards.
Internal Communications & Culture Support

Partner with the Chief People & Operations Officer on staff communications, logistics, and culture initiatives.

Coordinate all-staff meetings, retreats, and internal events.

Support internal communication channels and information flow across departments.
Project Coordination

Track milestones for key organizational projects and ensure timely follow-through on deliverables.

Collaborate with the CEO and leadership team on organization-wide initiatives that enhance efficiency and performance.

Provide support for cross-departmental projects as assigned.
Requirements:
Education:
-
Bachelor’s degree in Business Administration, Human Resources, or a related field required.
Experience:
-
Minimum of 7 years of professional experience in operations, project management or executive support roles.

Experience providing executive support to senior leadership in a nonprofit or mission-driven environment preferred.
Technical Skills:

High proficiency with digital collaboration tools (Google Workspace, Slack, Asana, Zoom, Paylocity preferred).
