Job Title: Operations Manager – Events Coordination Overview

The Operations Manager oversees the planning, logistics, and execution of events from start to finish. This role ensures that all event operations run smoothly, efficiently, and within budget while maintaining high standards of guest experience. The Operations Manager acts as a central point of communication between clients, vendors, internal teams, and venue staff.

Key Responsibilities Event Planning & Logistics

  • Manage all operational aspects of events, including scheduling, vendor coordination, venue preparation, staffing, and equipment setup.
  • Develop event timelines, production schedules, and logistical plans.
  • Conduct site visits and ensure compliance with venue regulations, safety procedures, and event requirements.

Vendor & Supplier Management

  • Source, negotiate, and manage relationships with vendors (catering, AV, décor, rentals, security, etc.).
  • Oversee vendor contracts, service agreements, and payment schedules.
  • Ensure all suppliers deliver high-quality services on time and within budget.

Team Leadership & Coordination

  • Supervise event staff, contractors, and volunteers during event setup, execution, and breakdown.
  • Provide training, guidance, and delegation of responsibilities to ensure efficient operations.
  • Resolve on-site issues quickly and professionally.

Budgeting & Reporting

  • Create and manage event budgets, ensuring cost-effective operational decisions.
  • Track expenses, reconcile invoices, and provide post-event financial reporting.
  • Conduct post-event evaluations to identify areas for improvement.

Client & Stakeholder Communication

  • Serve as a primary operational contact for clients throughout the event lifecycle.
  • Communicate event updates, schedules, and expectations to clients and internal teams.
  • Ensure client needs are met and event objectives are achieved.

Risk Management & Compliance

  • Implement safety, security, and emergency protocols for events.
  • Ensure compliance with local regulations, permits, insurance requirements, and venue policies.
  • Conduct risk assessments and prepare contingency plans.

Qualifications

  • Bachelor’s degree in Event Management, Hospitality, Business Administration, or related field (preferred).
  • 3–5 years of experience in event operations, event planning, project management, or a related role.
  • Strong leadership, communication, and organizational skills.
  • Ability to manage multiple projects simultaneously under tight deadlines.
  • Proficiency in event management software, scheduling tools, and Microsoft Office/Google Workspace.
  • Ability to work evenings, weekends, and extended hours as required by event schedules.
