We are a fast-paced, growing law firm and are searching for a proven, performance-oriented operations manager who has substantial skills, experiences, and knowledge with recruiting, training, and managing direct reports, and also with developing, modifying, and implementing policies and procedures in a strategic, thoughtful way. We are located on the beautiful Oregon coast, with beaches and hiking nearby, and mountains a short drive away. Astoria offers historical charm, Gearhart quiet prestige, and Cannon Beach can't-miss-views of picturesque Haystack Rock. Just hours from Portland and Seattle.

Experience in a professional services firm would be highly preferred, including law firms, financial services firms, CPA firms, and similar white collar professional services businesses that are governed by significant risk management protocols.

You should have a proven track record of working with 6 - 8 direct reports in a company with at least 15 - 20 employees. We are a small law firm with 2 full-time employees and two independent contractors, and are looking for someone to help us standardize and scale our operations, with a focus on people and systems.

You do not need prior legal experience. However, your résumé and references should demonstrate transferrable skills, experiences, and knowledge, preferably in a white collar setting, including substantial operations experience and progressive professional development.

What an operations manager does at our firm: We are hiring an Operations Manager (full-time, 40 hours/week, occasionally 45 - 50) whose primary duties include:

  • Recruiting and engaging with qualified candidates
  • Onboarding, training, and supporting new hires
  • Managing, developing, and supporting direct reports
  • Developing, modifying, and implementing policies and procedures
  • Developing, standardizing, and automating workflows and forms using software and technology
  • Providing quality control and actively engaging with operations to ensure compliance

Your other duties include:

  • HR-related functions, such as payroll, evaluations, and retirement benefits
  • Performance-based management of direct reports based on KPI's in a positive, objective manner
  • Developing, modifying, and monitoring job descriptions and design;
  • Utilizing modern technology for productivity
  • Designing and implementing automation of workflows and forms
  • Working with and effectively managing vendors of the firm

We are looking for a proven operations manager who has already built up skills, experiences, and knowledge to do the job. This is not a position for you to learn how to be an operations manager, but for someone who has done it successfully before.

What our firm does: Our firm helps clients use the legal system to protect their piece of the American Dream. We primarily focus on cases involving real estate and business disputes. We work closely with clients to help them protect what matters the most. We have a statewide practice and help clients all over the state of Oregon.

Compensation:

  • Full-time (40 hours/week, occasionally 45 - 50 hour/week), up to $125,000 per year (including quarterly bonus compensation based on performance);
  • Occasional overtime as needed (we are a busy office, and need coverage from time to time as bigger cases come through our firm).
  • As we are scaling the team, we are likely to convert this position into an exempt position with no overtime.

  • 90-day probationary period generally
  • Certain benefits may be subject to a vesting period

Required qualifications include:

  • At least 5 years full-time, substantial operations experience with progressively increasing responsibilities
  • At least 2 years of full-time experience supervising teams and vendors
  • Bachelor's degree or equivalent experience
  • Well-versed in modern technology and software
  • Demonstrated success in intake/reception oversight, and billing/AR coordination
  • Track record of strategic, ongoing professional development and learning

Preferred qualifications include:

  • Law firm or professional services background (including substantial operations experience in a CPA office, financial services office, medical office, dental office, and other professional services background)
  • Candidates with ALA/CLM, SHRM, Lean/Six Sigma, or PMP credentials and professional development, will be given special consideration
  • Skills, experiences, and knowledge with a company that is growing and changing quickly
  • Extremely organized and detail oriented
  • Sound judgment and creative problem solver
  • Effective in engaging with different personalities in a wide variety of contexts
