We are seeking a proactive, hands-on Operations & Facilities Managerto serve as the heartbeat of our daily flow and the guardian of our physical space. This role is a unique blend of high-level administration, "in the trenches" leadership, and environmental stewardship. Your primary focus is general business operations, ensuring the facility is safe, secure, and pristine, while providing a strong administrative backbone for our Massage and Wellness Teams.
The Leadership Team
In this role, you will work in close alignment with:
- The Business Owner:A lead Massage Therapist who oversees the massage team and technical trainings.
- The Wellness Team Manager:Who manages the front-desk scheduling and high-level strategy.
- Your Role:You provide the vital operational support these leaders need—managing the environment, handling on-site challenges, and acting as the administrative anchor.
Key ResponsibilitiesFacility & Safety Management
- Safety & Security:Act as the primary Safety Officer. Develop and oversee safety protocols, manage building security systems/access, and ensure a secure environment for both staff and guests.
- Space Supervision & Cleanliness:Maintain an "owner’s eye" on the aesthetic and hygienic standards of the space. Ensure the studio is "guest-ready" by 8:00 AM daily.
- Maintenance & Equipment:Oversee the lifecycle of all equipment. Create and manage a rigorous schedule for preventative maintenance, cleaning, and repairs to minimize downtime.
- Inclement Weather Lead:Lead the charge in keeping the business operational during weather-related inconveniences.
Team & Customer Support
- Customer Care & Feedback Management:Oversee the intake and resolution of all Customer Care Forms. You will analyze feedback, address grievances, and close the loop with guests to ensure a premium experience.
- Massage Team Admin:Support the massage therapy team by managing scheduling, tracking days off, and streamlining administrative needs.
- Wellness Team Leadership:Provide ongoing administrative support via the team chat to ensure the desk team feels supported. You are the "go-to" for immediate operational hurdles.
- Desk Team Backup:Serve as the ultimate "safety net" for the front-of-house, stepping in during high-traffic rushes or covering call-outs.
Systems & Financial Administration
- Systems Management:Oversee and maintain Mindbodyand Smartwaiverplatforms.
- Financial Integrity:Manage daily deposits and reconciliations. Provide a "second set of eyes" on payroll to ensure 100% accuracy.
- Collateral & Inventory:Oversee the production and inventory of all printed materials and studio supplies.
Schedule & Compensation
- Schedule:Sunday – Thursday | 8:00 AM – 5:00 PM (On-site with remote support availability).
- Compensation:Competitive Hourly Wage.
- Benefits:PTO eligibility beginning at 6 months of employment.
Qualifications & Requirements
- Management Experience:Proven track record of managing people and/or physical facilities.
- Technical Aptitude:Strong "tech-fluency" (Mindbody experience is a plus).
- Conflict Resolution:Exceptional ability to handle customer feedback with grace and turn a negative experience into a positive one.
- Reliability & Grit:Punctuality is non-negotiable.
