Role Summary
We are seeking a highly organized and detail-oriented Operations Manager to serve as an integral part of our team. This multifaceted role manages daily operations both for our office as well as our projects. Involving, project coordination and order management, HR support, and client-facing communication.
The ideal candidate is proactive, polished, and thrives in a fast-paced environment where accuracy, diplomacy, and
follow-through are essential.

Key Responsibilities
Project & Order Management
● Manage the ordering and purchasing of materials, furnishings, and fixtures; request and verify vendor quotes and
specifications.
● Maintain detailed project schedules and proactively expedite orders to ensure on-time delivery.
● Coordinate all logistics, including tracking shipments, scheduling deliveries, and partnering with receiving teams.
● Communicate regularly with vendors regarding order status, progress, and issue resolution.
● Keep the internal team informed of key timelines, project milestones, and any changes in status.
Financial & Accounting
● Prepare client invoices, proposals, and billing for client orders and accounts.
● Process vendor payments and enter invoices into the accounting system.
● Prepare bank deposits and ensure timely processing;.
● Track credit card transaction
● Collaborate with the remote accountant on monthly financial reconciliations.
● Oversee accounts receivable and payable functions.
Payroll & HR Administration
● Partner with the payroll processing service to ensure accurate and timely submission of employee time records
and paychecks.
● Track and maintain employee time-off, vacation, and sick pay records.
● Onboard new employees, establish employee files, and assist with benefits administration.
Client, Vendor & Team Communication
● Serve as a professional and polished point of contact for clients, contractors, and vendors.
● Facilitate clear and timely communication across all project stakeholders.
General Office & Administrative
● Manage office supplies and assist with general office organization.
● Support additional administrative tasks as needed and assigned.
Qualifications
● Pride in delivering a product that reflects the firm's level of polish and professionalism
● Proficiency with Google Workspace required; experience with Studio Designer strongly preferred
● Strong numerical aptitude with a high degree of accuracy and attention to detail.
● Excellent written and verbal communication skills with a professional, diplomatic approach to client and vendor
relations.
● Professional presentation and demeanor.
● Strong problem-solving skills with a proactive, self-motivated work style.
● Exceptional organizational and time management abilities; able to manage multiple priorities simultaneously.
● Positive, collaborative team player who is reliable, flexible, and able to operate efficiently and with a sense of urgency when necessary.
● Demonstrated ability to handle sensitive and confidential information with discretion.
**Although this isn't a design position, a passion for design is a plus**
Pay: $85,000.00 - $95,000.00 per year
