  • The right candidate will be organized, proactive, financially aware, and comfortable managing both systems and people.
  • This role serves as the primary operational point of contact between ownership and the rest of the organization and is responsible for translating direction into execution.

What this Role Requires:

  • At least 5 years of experience in operations leadership, business operations, or a similar management role
  • Experience managing field labor in a service-based business such as landscaping, construction, HVAC, pest control, or a related industry
  • Strong organizational, communication, and problem-solving skills
  • Ability to manage multiple priorities and maintain follow-through across departments
  • Experience building, documenting, improving, and implementing systems, workflows, reporting, and accountability
  • Financial literacy, including comfort with P&L review, job costing, labor utilization, A/R aging, and operational reporting
  • Comfort working with business software, technology, and accounting-related systems
  • Ability to work in a fast-paced small-business environment with urgency and sound judgment
  • Landscape, horticulture, or field construction experience preferred
  • Bilingual English/Spanish preferred
  • Degree in a technical or business-related field or equivalent experience preferred.

What You’ll Do:

  • Oversee daily operations across maintenance, installation, and office-to-field coordination
  • Own capacity planning across installation and maintenance crews by matching available labor to scheduled work and upcoming backlog
  • Identify and address scheduling conflicts before they affect the field
  • Oversee and delegate the work order lifecycle from creation through job completion and billing handoff
  • Help ensure job packets are assembled, crews are briefed, and jobs close out with accurate documentation
  • Track budgeted hours versus actual hours at the job level and identify opportunities for improvement
  • Support Landscape Architects by maintaining visibility into the design and installation sales pipeline and tracking job-level progress, quality, and efficiency
  • Support and resource maintenance and installation jobs so crews can deliver quality work on time
  • Maintain field presence by visiting active job sites to observe safety, work quality, crew organization, and operational execution
  • Enforce job site safety standards and conduct or coordinate regular safety meetings
  • Own the weekly operational reporting cycle, including job-level profitability, crew utilization, maintenance efficiency, backlog and pipeline KPIs, and A/R aging
  • Help ensure jobs are closed out with the information needed for accurate and timely invoicing
  • Monitor invoicing progress so it stays in step with project progression
  • Own A/R visibility and help ensure aging receivables are actively being worked
  • Own the integrity of the company’s timekeeping process and help ensure field employees are coding time correctly for payroll and job-cost reporting
  • Coordinate with admin to resolve time data gaps before payroll processing
  • Take ownership of existing operational systems, including lead management, work orders, scheduling flow, contracts, SOPs, and internal process documentation
  • Drive documentation, implementation, training, and accountability to internal business processes across operations, admin, design, and the field
  • Identify process gaps that create friction in billing, scheduling, hiring, or reporting and help drive solutions through to completion
  • Keep operational processes and SOPs current as the business evolves
  • Support the company’s Great Game of Business program by helping employees build financial literacy
  • Translate company financial performance into terms that are meaningful across the organization

  • Own the end-to-end hiring process, including job posting, candidate tracking, interviewing, offers, and onboarding
  • Own, with support, HR compliance and benefits administration, including open enrollment, COBRA, benefits eligibility, incentive programs, and health insurance coordination
  • Own and enforce employee policy and help address employee relations matters as needed
  • Represent the company well with professionalism, sound judgment, and a strong sense of ownership.
