Operations Manager (Motorsports Training + Custom Build Shop)

Role Overview

We’re looking for an operations-focused leader to bring structure, visibility, and execution discipline to a fast-moving, hands-on environment.

This role owns the systems that keep builds, parts, people, and priorities aligned. You will drive operational flow across the shop, vendors, and leadership team ensuring projects move on time, resources are allocated correctly, and nothing falls through the cracks.

This is a process-first role. Financial awareness matters, but execution, coordination, and systems thinking are the priority.

Key ResponsibilitiesOperations & Project Management (Primary Focus)

  • Own day-to-day shop operations including build timelines, scheduling, and resource allocation.
  • Track all active builds and maintenance projects from intake through completion.
  • Create and maintain clear project plans, timelines, and status tracking systems.
  • Identify bottlenecks and implement process improvements to increase throughput and efficiency.
  • Build and maintain operational dashboards (build status, parts readiness, shop capacity).
  • Ensure alignment between leadership priorities and shop execution.
  • Standardize workflows across builds, maintenance, and recurring operations.

Parts & Inventory Management

  • Own end-to-end parts lifecycle: sourcing, ordering, tracking, receiving, and allocation.
  • Maintain accurate inventory levels and organized parts systems.
  • Build and manage a preferred vendor list with pricing and lead times.
  • Ensure parts are available ahead of build deadlines to prevent delays.
  • Implement systems for purchase orders, returns, and warranty tracking.
  • Track parts usage by vehicle and project for operational visibility.

Vendor & Supply Chain Coordination

  • Manage vendor relationships, communication, and ordering cadence.
  • Negotiate pricing, timelines, and reliability with suppliers.
  • Track order status and proactively resolve delays or issues.
  • Ensure accurate documentation and cost tracking for all purchases.

Systems, Process & Tooling

  • Build and maintain systems across Clockify, QB, Slack, Google Drive, and related tools.
  • Create repeatable workflows for builds, inventory, purchasing, and communication.
  • Improve data visibility across operations, including parts, timelines, and workload.
  • Establish clear documentation and SOPs for core processes.

Team Coordination & Communication

  • Serve as the central hub between shop, leadership, and vendors.
  • Run or support weekly operations meetings with clear status updates.
  • Ensure clarity on priorities, deadlines, and next actions across the team.
  • Drive accountability and follow-through across both remote and onsite contributors.

Financial Process Support (Light)

  • Use QuickBooks for operational workflows including invoicing, vendor tracking, and expense categorization.
  • Ensure accurate allocation of parts and vendor costs to projects.
  • Support visibility into spend by build, car, and vendor (not responsible for full bookkeeping).
  • Coordinate clean handoffs to accounting/CPA as needed.

Qualifications

  • Proven experience in operations management, project management, or business operations roles.
  • Strong systems thinker with experience building and improving workflows.
  • Working knowledge of QuickBooks (invoicing, expense tracking, vendor coordination).
  • Experience with project management tools
  • Strong organizational and execution skills in fast-paced environments.
  • Ability to manage multiple projects simultaneously with high attention to detail.
  • Clear communicator who can translate complexity into actionable plans.

Bonus Experience

  • Automotive, motorsports, fabrication, or construction-style operations.
  • Inventory and parts management in a physical goods environment.
  • Shop management software
  • Experience working with small teams or contractor networks.
  • Experience with performance driving, drifting, or track-based environments.
  • Experience working with or supporting driving instructors, training programs, or motorsports events.

Compensation & Structure

  • Contractor role
  • Guaranteed minimum 20 hours/week, scaling to 40 based on workload
  • Hybrid: Mostly remote with ~10–15 hours/week onsite in Lakeway
  • Competitive hourly or retainer-based compensation

Pay: $35.00 - $40.00 per hour
