Position Overview
The Operations Manager supports the Executive Director by ensuring that internal operations run smoothly and that the organization maintains accurate documentation for HR, finance, and grant compliance. This 0.75 FTE role provides mid‑level operational support across the organization.
The ideal candidate has experience in nonprofit operations or small business, HR processes and financial systems, is detail‑oriented, organized, and comfortable managing multiple administrative and operational tasks in a mission‑driven environment.
They enjoy detailed work, thrive in a mission‑driven environment, and can build systems that support a growing team and multiple programs.
This role works closely with the Executive Director to support staff and strengthen internal systems and operations.
Key ResponsibilitiesHuman Resources & Staff Support
- Prepare employment and contractor agreements using established templates
- Maintain and update the Employee Handbook under ED guidance
- Manage PTO, time tracking, and scheduling systems (e.g., Connecteam, Gusto)
- Support onboarding and offboarding processes
- Assist with recruitment, screening, and interview coordination
- Maintain confidential personnel files and HR documentation
- Ensure HR documentation is complete and organized
Finance Support
- Maintain receipts, invoices, reimbursements, and financial documentation
- Process payments and write checks as directed
- Track program expenditures and compare against budgets
- Prepare financial documentation for the ED or bookkeeper
- Generate and send invoices for services
- Support financial components of grant reporting by gathering data and documentation
- Maintain organized digital financial records
Compliance Support
- Track grant deliverables, reporting deadlines, and required documentation
- Maintain compliance files and ensure documentation is complete and accessible
- Support internal controls by following established procedures
- Maintain secure digital filing systems for contracts, policies, and compliance records
- Assist with preparing materials for audits or monitoring visits (not lead them)
Development & Grant Support (non‑communications)
- Maintain donor and grant databases
- Track grant‑related data and deadlines
- Generate donation receipts and acknowledgments
- Support website payment integrations (technical/operational tasks only)
- Organize and maintain grant documentation
Office & Operational Management
- Manage office equipment, supplies, and inventory
- Purchase program supplies and materials as requested
- Maintain a clean, organized office environment
- Support scheduling, logistics, and internal coordination across programs
Skills Required
- Operational systems management
- HR administration (onboarding, time tracking, PTO, documentation)
- Financial documentation and basic bookkeeping support
- Compliance tracking and documentation

- Proficiency with Excel, Google Workspace, and HR/finance platforms
- Clear communication and strong professional judgment
- Ability to maintain confidentiality
- Problem‑solving and initiative within established systems
- Strong English skills
Position Details
- Schedule: 30 hours per week (0.75 FTE)
- Annual Salary: $41,250 – $52,500 (equivalent to $26.44 – $33.65/hour)
- Location: Hybrid; must reside in the greater Seattle area
- Benefits: Pro‑rated paid vacation, paid holidays, and Washington State sick leave
- Health Insurance: Not offered at this time
- Reports to: Executive Director
- Supervises: None
- Must have valid work authorization
Ideal Candidate
- AA or BA/BS in accounting, finance, nonprofit management, or related field
- Experience with nonprofit operations, HR systems, or financial processes
- Strong organizational and time‑management skills
- Ability to work independently and manage multiple priorities
- Bilingual English/Spanish preferred
