Operations Manager - Private Christian School (part time)

Operations Manager

Location: Evergreen Christian Academy, Greenville, NC

Job Type: Part-time, 3 days/week on-site

Position Overview:

Evergreen Christian Academy is seeking a dedicated and organized Operations Manager to support daily operations at our private Christian school. This individual will play a key role in maintaining the smooth functioning of our campus by overseeing various administrative tasks, student documentation, and facility operations. The position requires someone who is proactive, detail-oriented, and committed to ensuring a safe, organized, and welcoming environment for both students and staff.

Key Responsibilities:

1. Bookkeeping & Financial Administration

  • Process and maintain accurate family payments, tuition records, and accounts.
  • Assist in generating and tracking receipts for tuition and other fees.
  • Work to ensure financial documentation is up-to-date and accurate.

2. Admissions & Enrollment Management

  • Create and execute a processes for documentation and admission.
  • Oversee the enrollment process for new and returning students.
  • Communicate with prospective families, schedule tours, and answer inquiries regarding enrollment procedures.
  • Assist with family interviews.
  • Ensure that all required admission forms and documentation are completed, including immunization records and other compliance documents.

3. Student Documentation & Records Management

  • Maintain accurate, up-to-date student files, including immunization records, attendance, payments, and other required forms.
  • Ensure compliance with state and federal regulations regarding student record-keeping.
  • Coordinate the certification and endorsement process for students applying for Opportunity Scholarships.

4. Administration of Medication & Injury Reporting

  • Administer prescribed medications to students per authorized guidelines.
  • Maintain accurate records of medication administration and student injuries.
  • Complete and submit injury reports as necessary, ensuring proper documentation and follow-up.

5. Facilities Management

  • Serve as a secondary point of contact for our host church, and relay any building needs or requirements to their primary point of contact.
  • Assist the Safety Officer in coordinating emergency preparedness drills (fire drills, tornado warnings, critical incidents).
  • Assist with immediate response to minor injuries (e.g., nosebleeds) and ensure proper hygiene practices, including disinfecting areas as needed.
  • Follow school protocols for handling student health emergencies, providing first aid, and notifying appropriate parties.

6. Communication & Email Management

  • Serve as the primary point of contact for school-related inquiries via email.
  • Respond promptly to emails regarding student matters, administrative questions, and general inquiries.
  • Communicate effectively with parents, staff, and students in a professional and friendly manner.

Qualifications:

  • High school diploma or equivalent; additional education or certifications in administrative support, bookkeeping, or related fields is preferred.
  • Strong organizational and multitasking skills, with attention to detail.
  • Excellent communication skills, both verbal and written.
  • Experience in bookkeeping or financial administration preferred.
  • Ability to maintain confidentiality and handle sensitive information.
  • Knowledge of health and safety protocols, including medication administration and emergency procedures.
  • Ability to work independently and as part of a team.
  • CPR/AED and First Aid certification (or willingness to obtain).
  • A background check is required for this position.

Physical Requirements:

  • Ability to move around the school campus, including lifting, standing, and walking for extended periods.
  • Ability to assist in emergency drills and manage minor injuries.
  • Ability to clean and disinfect areas as needed.

Additional Information:

  • This position is part-time, with hours of work scheduled for three days (Tuesday, Wednesday, Thursday) 8:00am-2:30pm.
  • Some remote work required on Mondays and Fridays, as needed.
