Operations Manager - Roofing & Home Services

Operations Manager at Symplify Roofing

Walnut Creek, CA | In-Office | $95K–$115K DOE | Full-Time

READ THIS FIRST

Symplify Roofing is a fast-growing, technology-forward residential roofing company in the Bay Area. We're an Owens Corning Platinum Contractor, we run on real systems, and we're scaling fast, with a long-term vision and a team that takes customer experience as seriously as the work itself.

We're looking for an Operations Manager who can run the business operations layer alongside the founder. Someone who's been in the seat at a home services or trades company, knows how the office, production, and sales all intersect, and is energized (not intimidated) by AI and automation.

This isn't a traditional admin role. It's a real seat with real trust, real scope, and real growth ahead of it. If you've run operations at a roofing, HVAC, plumbing, solar, or similar tech-enabled trades company, and you've started using AI tools to make your work better, keep reading.

HOW WE ACTUALLY WORK

Most roofing companies run on whiteboards, group texts, and Excel. We don't.

We run on HubSpot for our CRM, sales pipeline, and marketing automation. Slack for internal communication, fast and organized, no email chains. Tech-forward proposal and instant-quote tools. A modern scheduling and dispatch platform with GPS tracking and customer-facing job updates. A photo-driven jobsite and project documentation system. A cloud VoIP and texting platform. QuickBooks for accounting. Google Workspace for everything else.

And we use multiple AI tools daily, including Claude, ChatGPT, and Gemini, for drafting, summarizing, follow-ups, reporting, and the agentic workflows we're building to scale operations without scaling headcount.

If this stack excites you, you're going to like it here. If most of these tools are new to you, that's fine, but you have to be the kind of person who learns fast and gets genuinely curious about what they can do.

WHAT YOU'LL OWN

  • Run the business operations layer. Invoicing, AR, vendor coordination, scheduling, paperwork, internal systems. You own the function. You don't have to do every task yourself. You manage the tools, the workflows, and (over time) the AI agents that support it.
  • Bridge production, sales, and the office. You're the connective tissue. When a job closes, the production team has what they need. When a customer calls, the right person knows. When invoicing goes out, the numbers are right. You make sure handoffs don't drop.
  • Bookkeeping fundamentals, managed internally. QuickBooks at the operator level. You don't have to be a CPA, but you know your way around a P&L, AR aging, reconciliations, and basic financial hygiene. We want this managed in-house with the right tools, not outsourced.
  • HR and people operations support. Onboarding, paperwork, vendor coordination for HR tools, helping us think through hiring as the team grows.
  • Build, document, and enforce systems. We have processes. Some great, some inconsistent. You'll clean them up, document them, hold the team to them, and continuously improve them. If something breaks twice, you fix it permanently.
  • Be a real partner on AI and automation. The founder will be the main builder of our AI workflows, but we want a partner who pushes back, brainstorms, spots what's not working, and uses our tools at a level equal to or better than the founder does. You'll have Claude or ChatGPT open every day. That's not a perk, it's how the work gets done here.
  • Reporting and visibility. Help build the dashboards and weekly rhythms that show how we're actually performing. KPIs, AR aging, pipeline health, operational scorecards.
  • Founder support. Help run the week. Calendar, priorities, communication, the things that need to get done so the founder can focus on the highest-leverage work. The scope here is broad and trust-based, and we'll talk about it openly in interviews.

WHO YOU ARE

  • You've run operations at a home services, trades, or construction company. Roofing, HVAC, plumbing, solar, electrical, pest control, landscape, or similar. You know how the office, production, and sales actually work together because you've lived it.
  • You're solid on QuickBooks and bookkeeping fundamentals. You've handled invoicing, AR, and basic financial reporting, and you can manage them internally with the right tools and support.
  • You've already started using AI tools in your work, like Claude, ChatGPT, Gemini, or anything similar, and you're genuinely curious about what's coming next. You don't need to be an AI builder. You need to be the kind of person who sees a tool, learns it fast, and uses it to make your work better.
  • You bring great energy to the office. You're positive, professional, and you set the tone. Office culture matters here.
  • You handle conflict cleanly. You can give and take direct feedback without drama. You don't avoid hard conversations.
  • You're organized, multi-task well, and you don't drop things. You think in systems, projects, and lists.
  • You have high agency. You see what needs to happen and you do it. You don't need daily check-ins.
  • You're ethical. Your word is your word. Your work is honest. You handle confidential information with discretion.
  • You work hard, but you work smart, always looking for ways to do more with less effort, including by using technology.
  • You want a 5+ year seat at a company that's growing. You're not looking for a stepping stone.

THIS ROLE ISN'T FOR YOU IF…

  • You want remote flexibility. This is fully in-office in Walnut Creek. The role requires presence.
  • You're scared of AI, automation, or learning new software constantly.
  • You want a slow, predictable job. We move fast and we improve things constantly.
  • You need hand-holding to stay productive.
  • You see operations as paperwork. We see it as how the company actually scales.

WHY SYMPLIFY

We're not another old-school roofing company. We're an Owens Corning Platinum Contractor with a modern, technology-driven process, including instant quotes, photo-rich proposals, transparent communication, and a team that genuinely cares about doing the work right. We're growing fast, building serious systems, and creating something different in an industry that doesn't usually move this way.

This is a real seat with real influence. You'll work directly with the founder. You'll see every part of the business. You'll have room to build, push back, and shape how we operate. As Symplify continues to grow, this role grows with it.

PAY, TOOLS, AND BENEFITS

  • Base salary: $95,000 to $115,000 per year, DOE. Real flexibility for the right person.
  • Tools: The full stack listed above, plus anything new we adopt as we scale.
  • Benefits: Paid time off. Additional benefits discussed in interview.
  • Schedule: Full-time, in-office, Walnut Creek.
  • Growth: Real long-term seat with expanding scope and comp as the company grows.

HOW TO APPLY

Email us your résumé and short answers to these three questions. No cover letter.

  • Why this role caught your eye. (2 to 3 sentences.)
  • Tell us about a time you used AI (Claude, ChatGPT, Gemini, or another tool) to make your work meaningfully better. What was the task, what did you do, and what was the result? Be specific. Small real examples beat big vague ones.
  • Where do you want to be in 3 years, and how does this role help you get there?

Plus: Send a 60-second Loom video introducing yourself. No script, just talk.

That's it. Real talk. We respond to every application that puts in genuine effort.
