SuiteSciens is a NetSuite governance and managed services firm serving CFOs at growth-stage and audit-sensitive organizations. Founded in 2017, the company has served several high profile organizations in urban mobility, digital media and marketplace, and life sciences. SuiteSciens is in a deliberate growth phase, building toward acquisition readiness.

WHY THIS ROLE EXISTS

The company has the clients, team, and service model to scale but needs an operational leader who can build the systems and accountability that make growth repeatable. Too many operational decisions still flow to the CEO. This role owns the internal engine so the founder can focus on revenue and strategy.

CORE RESPONSIBILITIES

  • Own capacity and utilization governance across all active client engagements on a weekly basis
  • Enforce service model boundaries; escalate when client work patterns no longer fit the assigned engagement type
  • Directly manage operations and administrative team members (3 to 5 direct reports across the United States and Philippines)
  • Build and maintain repeatable operational processes: billing operations, project coordination, delivery QA, and internal documentation
  • Oversee billing accuracy, timeliness, and reconciliation; surface utilization trends, write-off patterns, and margin risks to the CEO
  • Serve as first escalation point for operational issues; make independent decisions within defined authority and escalate with data when outside it
  • Reduce manual effort through workflow design and tool integration (Asana, Notion, Make.com)
  • Own acquisition readiness documentation from an operations perspective

WHAT THIS ROLE IS NOT

  • Sales, pricing, or client relationship ownership
  • Client-facing delivery execution or technical consulting
  • Bookkeeping, HR administration, or payroll
  • Strategy or product development

REQUIRED EXPERIENCE

  • 5 to 8 years in operations, with at least 3 years in a professional services, managed services, or consulting firm
  • Direct experience managing a small remote team (3 to 8 people) across time zones
  • Track record building operational processes from scratch in a company with fewer than 25 employees
  • Experience with capacity planning and utilization tracking in a services environment
  • Familiarity with recurring revenue models and the mechanics of monthly retainer engagements
  • Proficiency with Asana, Google Workspace, and financial reporting tools (QuickBooks Online, TSheets, or equivalents)
  • AI Power User

PREFERRED

  • Experience in the NetSuite ecosystem or ERP services
  • Background supporting acquisition readiness or due diligence preparation
  • Familiarity with HubSpot or similar CRM platforms

WHAT SUCCESS LOOKS LIKE

  • 90 days: Weekly capacity reviews running, direct reports clear on standards and escalation, first operational processes documented
  • 6 months: Capacity data surfaced proactively, scope drift caught before margin erosion, CEO reviewing patterns rather than making individual decisions
  • 1 year: Operations support adding clients without proportional chaos, classification and boundary decisions made independently, acquisition documentation substantially complete

COMPENSATION AND EQUITY

Competitive base salary aligned with professional services operations leadership at this company size and stage. For the right long-term candidate, equity participation tied to the acquisition trajectory will be part of the conversation.
