Operations & Marketing Assistant (Part-Time, Remote - Metro Atlanta Area)

Who We're Looking For

We’re looking for a part-time Operations & Marketing Assistant based in the Metro Atlanta area. While this is primarily a remote position, occasional in-person meetings and coworking sessions in Smyrna, GA will be required.

This role will help keep our agency organized, support our marketing efforts, and ensure internal systems run smoothly. You’ll support leadership and the team by managing recurring tasks, coordinating communication, and helping deliver a consistent client experience.

You should be highly organized, proactive, and detail-oriented. You enjoy juggling a variety of tasks—from managing email and scheduling, to supporting marketing efforts and helping deliver our podcast and promote our services. You’ll play a key role in keeping communication clear, projects on track, and clients feeling cared for.

You genuinely enjoy taking care of people and feel energized when clients are happy and supported. You understand that small details, timely responses, and thoughtful communication make a big difference in the overall client experience.

You’re someone who sees needs and creates solutions, takes ownership of recurring tasks, and enjoys building simple systems that improve efficiency as we grow. This is a great opportunity for someone who wants to grow with us and help create repeatable processes as we scale.

Scope & Hours

  • 10–15 hours per week (with room to grow)
  • Flexible schedule with some weekday availability required
  • Starting at $18/hour

Location Requirements

  • Must reside in the Metro Atlanta area
  • Available for occasional in-person meetings or coworking sessions in Smyrna

Areas of Responsibility

Administrative & Scheduling

  • Manage the owner’s calendar and coordinate client meetings
  • Monitor and help organize the owner’s inbox (summarize key emails, respond to straightforward inquiries, flag urgent items)
  • Prepare notes and proposals for sales calls using existing templates
  • Assist with billing-related admin tasks and subscription questions
  • Ensure timely, professional communication with clients

Marketing & Content Support

  • Create and update marketing assets such as portfolio pages and landing pages (WordPress + Canva)
  • Support podcast production and promotion (scheduling episodes, publishing show notes, drafting social posts, emailing guests, sending newsletters)
  • Track and report on basic social media performance metrics
  • Help collect and organize assets for webinars, speaking engagements, and campaigns
  • Maintain marketing checklists to ensure consistent delivery

Project Support

  • Track tasks and deadlines in Asana
  • Follow established processes and identify opportunities for improvement
  • Help document recurring workflows so they can be repeated
  • Assist with small internal projects that support service delivery

Technical Comfort

  • Comfortable working in Google Workspace (Docs, Sheets, Drive, Gmail, Calendar)
  • Experience using task management tools such as Asana (or similar platforms)
  • Basic familiarity with WordPress (updating pages, formatting posts, managing plugins)
  • Comfortable using Canva for simple graphics and marketing assets
  • Familiar with social media platforms (Facebook, Instagram, YouTube)

Core Skills

  • Strong written communication skills (clear, professional, friendly tone)
  • Excellent attention to detail
  • Ability to manage multiple tasks and prioritize effectively
  • Comfortable learning new tools and systems
  • Ability to follow established processes and help improve them over time

Nice to Have (Optional but Helpful)

  • Previous experience in an agency or small business environment
  • Familiarity with the therapy or private practice industry
  • Experience with the Divi WordPress theme

We don’t expect you to know everything on day one, but you should feel confident navigating digital tools and learning quickly.

What Success Looks Like in the First 30 Days

By the end of your first month, you will:

  • Understand our core services and how we support clients
  • Be comfortable navigating our tools (Google Workspace, Asana, WordPress, Canva)
  • Begin managing recurring administrative and marketing tasks independentlyHelp keep tasks organized and on track in Asana
  • Support podcast and marketing workflows with confidence
  • Communicate clearly and professionally with clients and team members

You’ll start to see where things can be streamlined and begin offering thoughtful suggestions for improvement.
