Operations Planning Specialist

EsteNove, a leading provider of health tourism services based in Istanbul, specializes in high-quality hair transplantation, dental, and aesthetic operations for international patients, primarily from Europe and the USA.

To strengthen our Operations team and ensure seamless coordination of the patient journey, we are looking for a detail-oriented and highly organized Operations Planning Specialist to manage the end-to-end planning process.

Qualifications:

• Bachelor’s degree in Tourism, Hotel Management, Business Administration, or a related field
• Previous experience in operations, tourism, hospitality, or patient coordination roles
• Proficiency in English at a minimum B2 level (C1 preferred)
• Strong planning, follow-up, and problem-solving skills
• Comfortable working in a shift-based and dynamic environment
• Excellent communication and coordination skills with internal teams and external partners (e.g., hotels, transfer companies)
• Ability to work in a flexible, fast-paced setting and manage multiple priorities
• Proficiency in using Google Calendar and basic Microsoft Office tools
• Experience with SAP or a willingness to learn and adapt quickly
• A collaborative and adaptable team player

Job Description:

• Coordinate hotel bookings for incoming patients based on details provided by the Sales team
• Communicate confirmed hotel reservations to the relevant International Patient Relations Specialist
• Liaise with hotels to find suitable accommodation options, negotiate pricing, and manage reservation agreements
• Ensure smooth handling of accommodation-related issues, and build ongoing relationships with hotel representatives
• Manage proforma invoices and provide payment confirmations to partner hotels
• Track and collect payments for extra nights or services requested by patients
• Maintaining the operational calendar for daily patient activities.
• Distribute finalized schedules to Sales, Medical, Operations, and transfer partners in advance of patient arrival
• Verify and approve daily and monthly transfer company lists and invoices
• Resolve patient transfer issues and assist with personalized tour or transfer requests
• Prepare and share weekly and monthly reports with Accounting and Executive Board as required
