The Role
We are seeking a highly organized and detail-oriented Operations & Production Coordinator to join our team. This role supports operational, administrative, client service, and production workflows across the agency.
The ideal candidate will help streamline internal processes, support project organization, maintain accurate documentation, and assist in developing proposals and client-facing materials. This position sits at the intersection of production, operations, and client services — ensuring work is delivered on time, within budget, and aligned with client expectations.
Key ResponsibilitiesOperations & Workflow Management
- Manage the creation, routing, tracking, and administration of insertion orders (IOs), including:
- Updating ActiveCampaign sheets
- Uploading signed IOs to Slack
- Ensuring consistent and accurate file naming conventions
- Oversee all DocuSign activity, ensuring proper documentation, execution, and storage of contracts
- Partner with the Accounting team to ensure IOs and contracts are accurately recorded; flag any changes and review AR reports, following up with Account Managers as needed
- Maintain and update internal databases, shared folders, and organizational systems (Monday.com, Dropbox, Mailchimp, Slack, Google Workspace)
- Support the development and documentation of internal processes and workflows
Production, Client Services & Administrative Support
- Schedule and coordinate meetings across teams
- Develop and maintain client asset tracking sheets; ensure all creative assets are organized and stored correctly in Google Drive
- Own onboarding and offboarding processes, including:
- Provisioning and deactivating accounts
- Managing software access and permissions
- Coordinating equipment needs
- Assist in the creation of proposals, pitch decks, and presentations, ensuring strong organization, visual consistency, and brand alignment
- Ensure all IOs and documents are properly named, stored, and compliant with internal conventions
- Support campaign kickoffs and new client onboarding communications
- Provide day-to-day support to Account Managers
- Assist in managing timelines, approvals, and delivery of client work
- Help standardize internal processes and workflows
- Create agendas for internal and client meetings
- Translate meeting notes into actionable tasks, timelines, and ownership within Monday.com
- Maintain and update contact and audience lists in Mailchimp
- Support email marketing initiatives, including scheduling, coordination, and distribution of newsletters
Cross-Functional Coordination
- Collaborate with internal teams to ensure workflow efficiency and alignment with project milestones
- Support Business Development efforts, including research and presentation development
- Conduct ad hoc research for Strategy, Production, and Media teams
- Contribute to continuous improvement and standardization of operational processes
- Maintain company-wide calendars, including key dates, deadlines, and events
