Operations & Program Assistant

About the Position:

The Operations & Programs Assistant is an entry-level role designed to support the day-to-day operations, program execution, marketing coordination, and client-facing activities of DancePhreakz. This role is ideal for someone interested in gaining hands-on experience in creative business operations, arts administration, and program coordination within a for-profit environment. The Assistant will work closely with leadership to support internal systems, program logistics, marketing efforts, and events that drive growth and engagement.

What You’ll Learn & Do

General Administration

  • Assist with daily office operations: organizing materials, managing mail/orders, and coordinating dancer, staff, and vendor needs.
  • Respond to emails and phone inquiries, providing friendly, professional customer service.
  • Help maintain the reception area and support upkeep of equipment and facilities.
  • Provide administrative support to leadership, including scheduling meetings and preparing documents.
  • Assist with shipping and packaging orders for our Shopify store.

Marketing & Creative Support

  • Help organize event promotions and support social-media campaigns.
  • Update website content with current events and activities.
  • Draft and post content across platforms (Instagram, TikTok, Facebook, YouTube, Pinterest).
  • Assist in creating and distributing newsletters.
  • Assist with promoting programs, events, and offerings
  • Support website updates and basic content maintenance
  • Assist with social media posting and content coordination
  • Support email marketing and newsletters

Class & Program Experience Support

  • Support in person and online classes, program logistics, scheduling, and coordination
  • Assist with class check-ins, attendance tracking, and participant flow
  • Monitor online classes to support instructors, participants, and basic tech needs
  • Provide in-person support during classes as needed (setup, transitions, general oversight)
  • Serve as a point of contact for instructors and participants during class sessions
  • Assist with managing classes and program communications and updates
  • Help ensure smooth execution of classes, workshops, and training programs

Events & Business Development Support

  • Assist with event planning, logistics, and on-site execution
  • Support outreach efforts related to partnerships, sponsors, and collaborators
  • Assist with preparing pitch materials and promotional assets
  • Support follow-up communications after events or campaigns

Qualifications

  • Currently enrolled in or recently graduated from a college/university program, or equivalent relevant experience.
  • Basic proficiency with Microsoft Word, Excel, Google Docs/Sheets.
  • Familiarity with social-media platforms and marketing tools (e.g., Canva, Mailchimp) a plus.
  • Strong organizational skills, attention to detail, and ability to handle multiple tasks.
  • Self-motivated, reliable, and eager to learn in a fast-paced environment.
  • Entry-level candidate or recent graduate interested in creative or small business operations
  • Ability to manage multiple tasks and meet deadlines
  • Comfortable working in a fast-paced, creative business environment
  • Interest in arts, entertainment, events, or entrepreneurship preferred

Internship Details

  • Schedule: 8–15 hours per week, flexible to accommodate classes or other commitments.
  • Location: Hybrid—remote work plus some on-site presence in Gardena, CA.
  • Compensation: Paid internship; stipend provided.
  • Opportunity to earn academic credit if approved by your institution.

Physical Demands and Work Environment:

  • The employee may be required to occasionally lift or move up to 25 pounds.
  • Specific vision abilities required include close vision, distance vision, and the ability to adjust focus.
  • The noise level in the work environment is generally low to moderate.
