The Role

We are looking for someone who will support end-to-end logistics operations, supply chain planning, basic NetSuite ownership, sales support activities and registration-related submissions for H&H Group DMCC. The role will also provide coordination and oversight across Middle East markets to ensure smooth execution of supply, commercial activities, compliance and overall operational efficiency.

This position requires an individual who is comfortable operating with a 'hands on/roll up your sleeves' mentality. Must be highly accountable and focused on results. The position reports to the Head of Sales.

Responsibilities

Logistics & Operations
  • Coordinate inbound and outbound logistics for Middle East markets.
  • Manage freight forwarders, customs documentation, delivery scheduling and shipment follow-ups.
  • Ensure accurate and timely creation of Commercial Invoices, Packing Lists, COO and other export documents.
  • Liaise with 3PL providers, freight forwarders and distributors to resolve operational issues.
  • Track shipments and maintain up-to-date delivery timelines for internal teams and partners.
  • Be the first point of contact for all customer enquiries.
Supply Chain Planning
  • Support demand planning and forecasting based on sales trends and partner requirements. Including the need for sample ordering as and when required.
  • Monitor stock levels, ageing inventory and replenishment needs across relevant markets.
  • Assist with PO creation, processing and tracking in coordination with global supply teams.
  • Highlight risks related to supply gaps, delays or constraints.
NetSuite Ownership
  • Maintain product, pricing and partner data within NetSuite for the Middle East region.
  • Submit sales orders, POs, inventory movements and ensure their accuracy.
  • Support troubleshooting and serve as a point of contact for NetSuite-related queries in the region.
Regulatory Support
  • Assist with registration submissions in UAE and other Middle East markets as required.
  • Coordinate with regulatory consultants, internal teams and partners to secure required documents.
  • Track registration timelines and maintain regulatory status files.
  • Support the sales team with order entry, sales contract preparation and basic customer service queries.
  • Coordinate with distributors on routine commercial documentation and sample requests.
  • Prepare standard sales reports, sales trackers and monthly performance summaries.
  • Assist with trade marketing material coordination, including shipment tracking and distribution to partners.
  • Maintain updated sales databases, price lists and customer records in alignment with commercial guidelines.
Cross-Market Coordination
  • Provide operational oversight for Middle East distributors to ensure alignment with regional processes.
  • Support the Head of Sales, Middle East with reporting, operational insights and performance updates.
  • Contribute to process improvements and standardization across markets; including but not limited to creation of SOPs and flow charts of processes where needed.

Required Experience

  • 3+ years of administration experience
