OPERATIONAL SUPPORT SPECIALIST. The contractor shall: a. Be able to directly assist the AJAG 07 and NJS instructional and support staff with managing scheduling, quota control, administrative student support, billeting, logistical support, and academic records for all courses. b. Maintain the requisite security clearance to access a classified storage facility up to the SECRET level and to work with documents up to the SECRET level. c.
Qualifications include a High School Diploma, and 7 years of experience in an operations support position (Associate Degree can be substituted for two (2) years’ experience). IV. DELIVERABLES N0018926QW158 Page 3 of 28
The contractors shall complete the following tasks: a) OPERATIONAL SUPPORT SPECIALIST a. All required tasking shall be completed on a timely basis and updated as required.
b. Maintain all student database information in support of enrollment, quota control (allocation), and pre-course study material distribution.
c. Oversee preparation and forwarding of student information packages. Update the command welcome aboard booklet and ensure it is sent out to all students. d. Assist with the creating and maintenance of student rosters. Coordinate with staff to ensure students receive accounts and passwords for NJS Office365 and Blackboard.
e. Coordinate with the staff to ensure receipt of all student names. Provide roster information to the Command Fitness Leader and Urinalysis Coordinator to help with their duties.
f. Coordinate and produce photographs for accession students and create a photo boards and seating charts for accession classes.
g. Continuously monitor, update, revise, and modify the reservation schedule for training spaces, in response to initiatives or decisions to add, delete or change locations of major courses and associated small group/breakout room requirements.
h. Manage all requests for "out of schoolhouse" instruction at Surface Warfare Officer School, Naval War College, Officer Development School, Senior Enlisted Academy, and any other school or course of instruction.
i. Coordinate billeting/lodging for prospective in-resident students with Naval Station (NAVSTA) Newport Central Billeting Office and Navy Gateway Inn & Suites (NGIS) to ensure all in-resident students have lodging and monitor all classes to resolve all billeting problems as they arise.
j. Collect, organize, review and provide information in both oral and written format. The format shall include email, telephone, online databases and reports in keeping with policy and basic office and automation procedures.
k. Working from rough drafts placed in placed in an appropriate in-basket, type correspondence and reports in final form, proofread and deliver to the originator.
l. Upon course completion, ensure preparation of accurate class rosters, then compile/maintain command academic records.
m. Promulgate and maintain all academic data and reports V.
