Operations Support Specialist - Part-Time

Overview
We are seeking a detail-oriented and organized Operations Support Specialist to join our team on a part-time basis in our early childhood facility. This role is ideal for candidates with strong office management skills, excellent communication abilities, and proficiency in various administrative tools. The successful candidate will support daily operations, handle administrative tasks, and ensure smooth office functions to enhance overall productivity. Prior experience in office management, clerical work, or customer service is highly valued.

Duties

  • Manage front desk responsibilities, including greeting office visitors and answering multi-line phone systems with professionalism and courtesy
  • Perform data entry, filing, and document proofreading to maintain accurate records
  • Utilize QuickBooks, HubDoc, Divvy.co for basic bookkeeping and financial record keeping
  • Provide customer support via phone, email and parent messaging app, ensuring excellent phone etiquette and timely responses
  • Assist with office management tasks such as supply ordering, organization of files, and maintaining office supplies
  • Support administrative functions related to caregivers messaging when applicable
  • Handle clerical tasks including typing, document formatting, and supporting personal assistant responsibilities as needed

Skills

  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Excellent communication skills, both verbal and written, with a focus on professional phone etiquette
  • Experience with phone systems and customer service environments
  • Familiarity with QuickBooks or bookkeeping software is a plus
  • Bilingual abilities are a plus to assist diverse client needs
  • Office management or administrative experience demonstrating strong organizational and time management skills
  • Ability to perform data entry accurately with attention to detail and proofreading skills
  • Knowledge of calendar management tools for scheduling appointments/conferences or meetings with families efficiently
  • Computer literacy across various platforms and office equipment

Pay: $18.00 - $19.00 per hour
