ExcelHealth Group (EHG) is seeking a highly organized, proactive Scheduling Coordinator to support our mobile clinical teams.

ExcelHealth Group provides onsite audiology, dentistry, optometry, and podiatry services to residents in skilled nursing facilities across multiple states. Our mission is to deliver accessible, high-quality specialty care directly to nursing home residents in coordination with facility staff and families.

The Scheduling Coordinator plays a vital role in ensuring our providers are efficiently scheduled and our patients receive timely, well-coordinated care.

Location: In-office – Murfreesboro, TN
(Remote or hybrid work is not available)

Position Overview

This role is responsible for coordinating provider schedules and patient appointments across assigned regions. The Scheduling Coordinator works closely with nursing home staff, residents, responsible parties, and EHG clinical providers to ensure visits are properly arranged, documented, and executed smoothly.

This is a fast-paced position that requires exceptional verbal and written communication skills, attention to detail, and the ability to anticipate and resolve scheduling challenges before they impact patient care.

Key Responsibilities

  • Coordinate and schedule mobile audiology, dental, optometry, and podiatry visits across assigned territories
  • Communicate professionally and clearly with nursing facility staff, residents, responsible parties, and internal departments
  • Serve as a liaison between facilities and EHG providers to ensure seamless coordination of care
  • Monitor daily schedules in real time and proactively adjust to cancellations, additions, and logistical changes
  • Anticipate scheduling conflicts and solve problems efficiently
  • Maintain and accurately input patient demographics, insurance information, and appointment details
  • Ensure accurate documentation within internal scheduling and patient management systems
  • Collaborate with billing, clinical, and administrative teams to support timely patient care
  • Manage daily, weekly, and monthly scheduling goals aligned with company productivity targets
  • Maintain strict adherence to HIPAA and company compliance standards

Qualifications

  • Strong verbal and written communication skills (required)
  • Professional and confident phone presence
  • Strong computer and typing skills
  • Ability to manage multiple priorities and work in a structured, fast-paced environment
  • Detail-oriented with strong organizational skills
  • Customer service experience preferred
  • Healthcare or medical scheduling experience a plus (not required)
  • High school diploma or equivalent preferred
