We are seeking a detail-oriented and highly organized Order Processing Specialist to join our team. This role is essential to ensuring that all customer and vendor orders are entered accurately, verified quickly, and processed efficiently each day. You’ll work closely with accounting, sales, and shipping teams to keep operations running smoothly and maintain clean, timely records of all transactions.

Key responsibilities:

  • Process a high volume of customer orders and purchase orders daily with speed and accuracy.
  • Enter, review, and verify order information across accounting and ERP systems.
  • Match invoices, receipts, and purchase orders to prepare for approvals and payments.
  • Coordinate with internal departments (sales, warehouse/shipping, accounting) to resolve discrepancies or delays.
  • Assist with accounts payable and receivable entries, reconciliations, and updates as needed.
  • Maintain organized and up-to-date digital and physical records for orders, invoices, payments, and supporting documents.
  • Support month-end close by preparing documentation, updating logs, and assisting with reconciliations.
  • Perform administrative tasks including filing, scanning, document management, and general office support.
  • Provide backup assistance to other accounting or administrative functions when required.

Education:

  • Associate’s degree or relevant coursework in Accounting, Business, Finance, or related field preferred.


Experience:

  • 1–2 years of experience in order processing, accounting support, administrative support, or a similar data-entry-heavy role.


Technical Experience:

  • Proficiency in Microsoft Excel (sorting, data entry, basic formulas).
  • Experience with QuickBooks or similar accounting software preferred.
  • Familiarity with ERP or order-entry systems is a plus.
  • Strong and accurate data entry skills.
